Frequently Asked Questions
1. Before You Start
You will need:
Admin or Customer Admin access to your CRM.
Your instance to have either IQ enabled, or the Revenue add-on enabled. Full-IQ customers see the Revenue in CRM page automatically. Customers who do not use the full IQ can purchase the Revenue add-on separately to get this functionality.
Access requirements: The "Revenue in CRM" page is only visible to instances that meet the availability rule above, and the link is only shown to users with admin or customer-admin permissions.
If you do not see "Revenue in CRM" under Settings → Configuration, your instance does not currently have access. Contact your Dazos account manager if you would like the Revenue add-on enabled for your instance.
2. Open the Revenue in CRM Settings
From the CRM, click your avatar in the top-right and open Settings. In the right-hand settings panel, expand the Configuration section, then click Revenue in CRM.
The page shows three things:
Section | Purpose |
Description banner | A short summary of what the page does. |
Revenue Sync Fields card | The current provisioning status, the block name that will be created on the Intake Opportunity, and the six fields that will be added. |
Action button | A button to create the fields if they have not been created yet, or a confirmation badge if they already exist. |
Tip: The header of the Revenue Sync Fields card shows a colored badge on the right — green "Provisioned" if the fields exist, or yellow "Not provisioned" if they have not been created yet.
3. Provision the Revenue Fields
If the badge in the Revenue Sync Fields card says "Not provisioned", follow these steps to set up the fields. This is a one-time action per instance.
Click the Create Revenue Fields button at the bottom of the card.
A confirmation prompt appears asking you to confirm the action. Click OK to continue.
The page creates the "Actual Revenue" section and the six fields on every Intake Opportunity in your instance, then refreshes to show Provisioned.
Field Created | Description | Field Type |
Billed Amount | Total amount billed across all claims tied to this Opportunity. | Currency |
Collected Amount | Total cash collected for this Opportunity. | Currency |
Allowable Amount | Sum of allowable amounts on the linked claims. | Currency |
Patient Responsibility | Outstanding patient balance, net of patient payments. | Currency |
Patient Payments | Total cash collected from the patient. | Currency |
Write-off | Total adjustments / write-offs across the claims. | Currency |
Tip: The action is idempotent. If a similar block or field already exists (matched by name), it is detected and left alone. Running the action again is safe and will not create duplicates.
Important: This page does not enable or disable the Revenue add-on. The page provisions the fields only. Eligibility is controlled by your instance configuration — contact Dazos support to change it.
4. Where the Values Appear
Open any Intake Opportunity record in your CRM. Scroll down to the Actual Revenue section. The six fields show the latest aggregated values for that Opportunity.
The fields are read-only from the Opportunity page — they cannot be edited by hand. They are refreshed automatically once a day from the most recent billing data.
For Opportunities that do not yet have any matching claim or payment records, the fields display zero until matched data arrives.
5. What Gets Synced
How the Daily Sync Works
A background sync runs once per day and updates the six fields on every Opportunity whose linked claims or payments changed since the previous run. Opportunities with no changes since the last run are skipped, so the sync stays fast as your data grows.
Sources of Each Value
Value | Source |
Billed Amount | Sum of charge amounts on linked claims. |
Allowable Amount | Sum of allowable amounts on linked claims. |
Write-off | Sum of adjustments / write-offs on linked claims. |
Patient Responsibility | Sum of deductible, coinsurance, copay and combined patient cost-sharing, minus patient payments already received. |
Patient Payments | Total cash received from the patient (the maintained patient-cash field on each claim). |
Collected Amount | Total cash collected from the payments ledger (insurance + patient). |
Tip: Reporting and List Views — the six fields are standard Opportunity fields, so they are available in Opportunity list views, reports, and saved searches like any other field on the module.
6. Frequently Asked Questions
Q: I do not see "Revenue in CRM" under Settings → Configuration. What should I do? The link is only shown to admins and customer admins on instances that have IQ or the Revenue add-on enabled. If you are an admin and still do not see it, contact Dazos support to confirm your instance configuration.
Q: I clicked "Create Revenue Fields" but I do not see any values on the Opportunity yet. Values are populated by the overnight sync. Wait until the next day's sync runs, then refresh the Opportunity record. The fields will read zero until the first sync that finds linked claims or payments.
Q: What happens if I click the button twice? Nothing harmful. The action checks for existing fields by name first and skips anything that already exists. A second click is a safe no-op.
Q: Can I rename or remove the fields after they have been created? You can rename the labels through the standard Module Manager layout editor, but the sync looks fields up by their original names — renaming may break the daily refresh. We recommend leaving the field names unchanged.
Q: Can users edit these values directly on the Opportunity? No. The fields are read-only on the Opportunity record. They are overwritten on each sync, so any manual edit would be lost overnight.
Q: How do I turn this off? Contact Dazos support. The settings page only provisions the fields; it does not enable or disable the service.
Q: Will this affect any of my existing Opportunity fields? No. The action only adds new fields under a new "Actual Revenue" section. It never modifies or removes any existing fields on the Intake Opportunity.
Need Help?
If you run into issues:
Check the Revenue Sync Fields card on the Revenue in CRM settings page — it should show Provisioned. If not, click Create Revenue Fields and confirm.
Open an Intake Opportunity record and verify the Actual Revenue section is visible with the six field labels.
If values still do not appear after a day or two, contact Dazos support with the Opportunity ID and reference CRM-3104 .
