1. Before You Start
You will need:
A CRM user account that you can log in to.
An email address saved on your user profile (required to subscribe).
Full Admin access — only if you want to use the manual "Send Release Note Emails" button. Subscribing itself is available to every user.
Access requirements: Any user can subscribe from their own preferences. The Send Release Note Emails button appears only for Full Admin users, and only when there is a new release note that hasn't been emailed yet.
⚠️ Note: If you don't have an email address on your profile, the system will not let you turn the subscription on — add your email first, then subscribe.
2. Subscribe to Release Notes
From the CRM, open your user menu and go to Settings → My Preferences, then find the More Information section.
You'll see a new option, Subscribe to Release Notes via Email, directly below System Email Notifications.

To turn it on:
Click the edit (pencil) icon next to Subscribe to Release Notes via Email.
Set it to Yes and save.
That's it — you're subscribed. You can switch it back to No at any time to stop the emails; you'll still be able to read release notes inside the CRM.
💡 Tip: Make sure your email address is filled in on your profile first. If it's empty, the system will ask you to add one before it lets you subscribe. If you change your email later, your subscription stays on and future emails go to the new address automatically.
3. Send Release Note Emails Now (Admins)
Full Admins can send the latest release-note email to all subscribed users on demand, without waiting for the daily job.
Open the Release Notes screen (the "All Release Notes" view). In the top-right corner you'll see the Send Release Note Emails button.

How it behaves:
When a new release note has been published that hasn't been emailed yet, the button is active (blue).
Click it and confirm. The system starts sending the emails to all subscribed users right away.
When everything has already been sent, the button is greyed out with the note "No new release notes to send."
⚠️ Important: It's safe to click the button more than once. Each release note is emailed only once per subscriber — already-sent notes are never re-sent, so there are no duplicate emails.
4. Automatic Daily Delivery
You don't have to click anything for subscribers to be notified. A scheduled task runs once every day and automatically emails any newly published release notes to all subscribed users.
The daily automatic job is the safety net — it makes sure notifications go out even if no one clicks the button.
The Send Release Note Emails button (Section 3) is for when you want subscribers notified immediately, rather than waiting for the next daily run.
Both use the same rules, so a release note is still emailed only once per subscriber regardless of which one sends it first.
5. Frequently Asked Questions
Q: How do I stop receiving release-note emails?
Open Settings → My Preferences → More Information and set Subscribe to Release Notes via Email back to No. You'll still be able to read release notes inside the CRM.
Q: I'm an admin but I don't see the "Send Release Note Emails" button.
The button is shown only to Full Admin users. If you are a Full Admin and still don't see it enabled, it usually means there are no new release notes to send right now.
Q: The button is greyed out — is something wrong?
No. A greyed-out button means every published release note has already been emailed. It becomes active again the next time a new release note is published.
Q: Will subscribers get duplicate emails if I click the button and the daily job also runs?
No. Each release note is sent only once per subscriber. Whichever runs first marks it as sent, and the other skips it.
Q: I just changed my email address — do I need to subscribe again?
No. Your subscription stays on, and future emails automatically go to your new address.
Q: Who receives the emails when I click the button?
All active users who have turned on Subscribe to Release Notes via Email and have a valid email address on their profile.
