Share Dashboards with External Users (CRM)

Learn how to share CRM dashboards with external users via secure, read-only links. This guide covers how to enable public access, send dashboard links via email, configure auto-refresh, and manage link security.

Overview

Share any CRM dashboard with people outside the system using a secure, read-only link. Recipients open the link in their browser, see the same widgets you see, and never need a CRM login. The dashboard refreshes itself on a schedule you control and supports a dark theme for comfortable viewing.

1. Before You Start

You will need:

  • A CRM account with Admin or Customer Admin privileges. The Share button is only visible to those two roles.

  • At least one dashboard tab you want to share (the system uses your existing Home dashboard layout — no rebuilding required).

  • An open recipient list — email addresses, internal CRM users, or both.

Access requirements: Sharing is enabled per role. If you do not see the Share button in the dashboard header, your account is not an admin / customer admin. Ask a CRM admin to share the dashboard for you, or to elevate your role.

⚠️ Note: If the Share button is missing for a known admin user, contact Dazos support to confirm the feature is enabled for your instance.

2. Open the Share Panel

From the CRM, open the dashboard you want to share (for example, Home → Dashboard). Look for the Share button in the top-right of the dashboard header.

A small green dot next to the Share label means sharing is already turned on for this dashboard. No dot means it is off.

Click Share to open the Share panel.

3. Turn On Sharing and Copy the Link

The Share panel has two sections — a link toggle at the top and an email form at the bottom.

Copies the link to your clipboard and shows a "Link copied to clipboard!" toast.

Steps:

  1. Switch Anyone with the link to ON. The system generates a secure, one-time link the first time you enable sharing.

  2. Click Copy to put the link on your clipboard.

  3. Paste the link into your email, chat, document, or wherever you want to share it.

💡 Tip: The green dot on the Share button updates immediately — you do not need to reload the page to confirm the link is live.

4. Send the Link by Email

The lower half of the Share panel includes a built-in mailer so you can deliver the link without leaving the CRM.

The mailer offers two recipient pickers:

Click Send Email. A "Email sent successfully!" toast confirms delivery.

⚠️ Important: If you do not add any recipients, the system returns an error instead of sending. Add at least one CRM user or email address before clicking Send.

5. What Recipients See

The shared link opens a standalone page with no login prompt and no CRM navigation. Recipients see only the dashboard.

The page includes:

Toggles a dark colour theme for the page.

Picks how often the widgets reload.

Recipients cannot click into any of the underlying records, edit anything, or navigate elsewhere in the CRM. The page is strictly read-only.

6. Auto-Refresh and Dark Mode

Both controls live in the top-right of the public dashboard page and are remembered per browser — once a recipient sets them, they stick on future visits to the same link.

Every widget reloads on that schedule.

The default on a brand-new visit is 60 min.

Dark mode simply flips the page colours to a darker palette. Click Switch to Dark Mode to enable it (the button label becomes Switch to Light Mode when dark mode is on).

💡 Tip: Both settings are stored in the recipient's browser only. They do not affect anyone else viewing the same link.

7. Revoke or Re-Enable Access

To stop sharing a dashboard, open the Share panel again and switch Anyone with the link to OFF.

The link stops working immediately. Anyone who tries to open it sees a "Page not found / access denied" message instead of the dashboard. The green dot on the Share button disappears.

If you ever want to share again, simply switch Anyone with the link back to ON. The system reuses the same URL — you do not need to re-send the link to recipients. Anyone who already had the link can use it again right away.

⚠️ Important: Because the link is stable across enable/disable cycles, you should only re-enable sharing if you still trust the original recipients. If you want to invalidate the old link permanently, ask Dazos support to rotate the share token for that dashboard.

8. How It Works Behind the Scenes

A few notes for admins curious about what the system is doing:

Per-link security token

When you turn sharing on for the first time, the system generates a long, random token (effectively impossible to guess) and bakes it into the link. The token never appears anywhere except the link itself.

Read-only session isolation

Public viewers are placed in a separate, locked-down session that can only load widgets — it cannot navigate to leads, contacts, settings, or any other part of the CRM. Your own admin session is unaffected when a viewer opens the link.

What the link respects

The shared dashboard mirrors the same filters that were active when you turned sharing on:

If you change filters on your dashboard later, the shared link does not update automatically. Re-toggle sharing OFF then ON to refresh the stored filters.

Access logging

Every successful open of the share link records a "last accessed" timestamp on the share so you (or support) can confirm the link is being used.

9. Frequently Asked Questions

Q: Who can create a shared link?

Only users with the Admin or Customer Admin role can see the Share button and turn sharing on or off.

Q: Do recipients need a Dazos account?

No. The link works in any modern browser without a login. That is the whole point of the feature — share a dashboard with people who do not have CRM access.

Q: Can I share more than one dashboard at a time?

Yes. Each dashboard tab gets its own independent share link. Turning sharing on for one tab does not affect any other tab.

Q: What happens if I delete the dashboard tab or change my filters?

The link continues to point at the same tab. If the tab is deleted, the link shows the "Page not found" page. If you change filters, the shared view keeps the filters that were active when sharing was last enabled — re-toggle OFF then ON to push new filters out.

Q: Can recipients export or download the data?

No. The shared page renders widgets as visualizations only. There are no download, export, drill-down, or edit controls.

Q: How do I know who has opened the link?

The system records a "last accessed" timestamp each time the link is used. Contact Dazos support if you need a fuller audit log.

Q: Does the link ever expire on its own?

By default, no — it stays live until you switch it off. If you need a time-limited link, contact Dazos support to set an expiry date.

Q: Can recipients change settings that affect me?

No. Auto-refresh and dark mode are stored in each recipient's own browser. They do not change your dashboard, anyone else's dashboard, or the link itself.
