Need Help?
1. Before You Start
You will need:
● A CRM user account with permission to view other users’ dashboards. This is typically an Administrator or Customer Admin role, or a regular user who has been granted the Dashboard User Access privilege.
● At least one Group configured on your instance, with members assigned. Groups are managed under Settings → Users & Access Control → Groups.
Access requirements: If the User filter dropdown is not visible at the top of your dashboard, your role does not have permission to switch perspectives. The Group entries appear automatically inside the dropdown for everyone who can already see the dropdown — there is no separate permission to enable.
Tip: The Group entries you see in the dropdown depend on your group access settings. If a group you expect to use is missing from the dropdown, ask an admin to grant your role access to that group.
2. Open the Dashboard and Find the User Filter
From the CRM, click Dashboard in the left navigation.
Look at the top of the dashboard, above the widget grid. You will see (from left to right) the dashboard tab list, the User filter dropdown, and the Apply Filter / Edit Dashboard buttons.
The User filter dropdown shows your own name by default.
If you do not see the User filter dropdown at all, your role does not have permission to view other users’ dashboards. Stop here.
3. Switch to a Group
Click the User filter dropdown.
The dropdown is divided into two visually-distinct sections: Section Contents Label format
Section | Contents | Label format |
Top | Yourself first, followed by every individual user you have access to view. |
|
Bottom | Every group you have access to, listed after the users. |
|
3. Scroll to the bottom section and click any group entry — for example Sales Team(Group) or Admissions(Group).
4. The page reloads. The browser URL now contains ?iuser=<groupid>, and the dashboard refreshes with data scoped to the group.
Tip: Use the dropdown’s search box (when present) to quickly find a specific group on instances with many groups. Type a group name fragment and the list filters live.
4. What Changes When You Pick a Group
Selecting a group rescopes every widget on the dashboard tab to data owned by:
The group itself, plus
Every user who is a member of that group.
In other words, you are not seeing only the data that was directly assigned to the group — you are seeing the combined data of the group and every individual on the team. This is what makes it useful for team-level review.
Concretely:
Widget type | What the data looks like after picking a group |
Chart widgets (Pie, Bar, Funnel, etc.) | Bars / slices reflect the combined volumes for the group + members. |
Detail / list widgets | Rows include records owned by anyone on the team. |
Counter widgets | The number reflects the combined count. |
"My Dashboard" reports | "My" now means the selected group — see Section 6. |
The change applies to:
Chart preview (“Generate Now”) inside a Chart & Detail report.
The record-count displays when you scroll through a large report.
Every dashboard widget is driven by a saved report.
Important: This is a viewing scope, not a permission grant. You can only switch into a group if your role already allows it. The group itself does not gain or lose any access because of your selection.
5. Switch Back to a Specific User
The same dropdown also still lists individual users, exactly as it did before this change. To switch to one person:
Click the User filter dropdown.
Pick a user from the top section.
The dashboard reloads scoped to that user + the groups that user belongs to. This is the original behaviour and is unchanged.
To switch back to yourself:
Click the User filter dropdown.
Pick your own name from the very top of the list.
The dashboard reloads to your own scope.
Tip: You can also just remove ?iuser=... from the URL and reload — that resets the filter to your own scope.
6. How “My Dashboard” Reports Behave
Some saved reports include a special assignment filter called My Dashboard. Before this change, that filter always resolved to “the user currently logged in” — so even when you were viewing another user’s dashboard, a “My Dashboard” report still showed your own data.
After this change:
Selection in the User filter | What "My Dashboard" resolves to |
Yourself | You + your groups (same as before — unchanged). |
Another individual user | That user + the groups they belong to. |
A group | The group + every user in the group. |
No selection (URL has no | You + your groups (default). |
This means a single saved “My Dashboard” report can now serve as a team-level report, a per-user report, or your personal report — depending on what you have selected in the User filter at the top of the dashboard.
Tip: If you build a report for a team manager, save it with the “My Dashboard” assignment filter. The manager can use the dashboard User filter to switch between their team’s group view and individual team members without you having to clone the report.
7. Frequently Asked Questions
Q: A group I expected is missing from the dropdown. Why? The dropdown only lists groups your role has access to. If a group is missing, an admin needs to grant your role access to it under Settings → Users & Access Control → Profiles (or the equivalent for your tenant). The change is not about CRM-2469 itself — group access lists existed before this change and continue to govern who sees what.
Q: What happens if I pick a group that has no members? The dashboard reloads, but most widgets show 0 or empty results because the group has no member data. Records owned directly by the group itself (rather than by a member user) still appear. This is rare — most groups have at least one member.
Q: Does picking a group give me access to data I couldn’t see before? No. This is a viewing scope on top of your existing access. If you do not normally have permission to view a particular record, picking the group that owns it does not unlock it — the record-level permissions still apply.
Q: Does this affect scheduled (emailed) reports? No. Scheduled reports run under the configured owner / recipient and do not use the dashboard User filter. The change only affects the interactive dashboard view.
Q: Can I bookmark a “Marketing(Group)” view to come back to it later? Yes. The URL ends with ?iuser=<groupid> once you pick the group. Bookmark the page after switching, and opening that bookmark restores the same view.
Q: I’m seeing data from a user who shouldn’t be in the group. What happened? The dropdown uses the current group membership. If a user was a member yesterday and was removed today, they no longer appear in today’s group view. Check Settings → Users & Access Control → Groups → → Members to confirm who is currently in the group.
Q: I clicked “Generate Now” on a chart inside a report and the count looks like my own, not the group’s. What’s wrong? This was a bug fixed in the same release as this change. The Generate Now preview now forwards the selected user/group through to the chart calculation. If it still shows your own count, refresh the page once and try again.
Q: I’m an admin — can I add the ?iuser=<id> parameter manually to test a scenario? Yes. Manually setting iuser to a valid user id or group id in the URL works the same way as picking it from the dropdown. Invalid IDs fall back to showing your own data (no error).
8. Need Help?
If something does not look right after this change:
1. The dropdown is missing the Groups section entirely — refresh the page once. If still missing, your instance may not be on the latest release; contact Dazos support.
2. A group is missing from the dropdown — your role does not have access to it. An admin can grant access under the group access list.
3. Selecting a group does not change the dashboard — confirm the URL changed to ?iuser=<groupid>. If it did but the widgets still show your data, refresh the page; the widget cache may be stale.
4. A chart preview (“Generate Now”) inside a report still shows your own data — refresh the page and try again. If the issue persists, capture a browser network trace and report it.
5. Contact Dazos support with: the dashboard tab name, the group / user you selected, the report widget that misbehaved, and the time. Reference ticket CRM-2469.
