Group Reports and Charts by User Groups and Roles (CRM)

This enhancement allows administrators and report creators to group report and chart data using User Groups and User Roles instead of individual users. The feature helps organizations analyze performance at the team or department level while reducing depe

New grouping options introduced:

  • Assigned To (Group)

  • Sales Rep (Group)

  • Assigned (Role)

Prerequisites

  • User Groups and Roles are configured in the User Management module.

  • Users are assigned to appropriate groups and/or roles.

  • You have permission to create and manage reports.

Step 1: Navigate to the Reports Module

  1. Log in to the CRM.

  2. Open the Reports module.

  3. Click Add Report.

Step 2: Select the Primary Module

  1. Choose the required primary module.

  2. Enter report details such as Report Name and Description.

  3. Continue to the report configuration section.

Step 3: Open the Group By Section

  1. Locate the Group By section.

  2. Open the Group By dropdown.

Verify the following new options are available:

  • Assigned To (Group)

  • Sales Rep (Group)

  • Assigned (Role)

Step 4: Group Report by User Group

  1. Select Assigned To (Group).

  2. Configure additional filters or columns.

  3. Click Generate Report.

Expected Behavior:

  • Records are grouped using group names.

  • Individual usernames are replaced with group names.

  • Users in the same group are aggregated together.

Step 5: Verify Aggregated Group Data

Review the generated report and verify:

  • Users from the same group appear under a single group entry.

  • Counts and totals are aggregated correctly.

Step 6: Create a Chart Using Role Grouping

  1. Enable chart visualization.

  2. Select Sales Rep (Role) or Assigned (Role).

  3. Choose the chart type.

  4. Generate the chart.

Expected Behavior:

  • Role names are displayed instead of usernames.

  • Data is aggregated correctly by role.

Step 7: Handle Users Without Group or Role Assignments

Generate a report using Group or Role grouping.

Expected Behavior:

  • Users without assignments appear under Unassigned.

  • The report continues functioning without errors.

⚠️ Important Warning for Multiple Group Assignments: If a user belongs to multiple groups, only the first related group record found for that user will be used for grouping purposes. The system displays a warning message when this condition exists.

Step 8: Save the Report

  1. Click Save Report.

  2. Enter a report name if required.

  3. Save the report successfully.

Step 9: Reopen and Verify Saved Groupings

  1. Open the saved report.

  2. Verify the selected grouping option remains saved.

  3. Confirm the report data displays correctly.

Working with Mixed Grouping

Example:

  • Primary Grouping: Assigned To (Group)

  • Secondary Grouping: Assigned To

Expected Behavior:

  • Data groups correctly without duplication or conflicts.

Deleted Group or Role Handling

If a group or role is deleted after report creation:

  • The report continues functioning.

Exporting Reports with Group/Role Grouping

Supported export formats:

  • CSV

  • Excel

  • PDF

Expected Behavior:

  • Group and role names remain intact.

  • Aggregated totals and formatting are preserved.

Notes & Limitations

  • Users without group/role assignments appear as Unassigned.

  • Users assigned to multiple groups use only the first matched group.

  • Existing reports remain backward compatible.
