Activities Quick-View Modal (CRM)

The Activities Quick-View Modal lets you view and act on tasks or events directly from any record — no page navigation needed. Available across Leads, Accounts, Referral Sources, and Intake Opportunities, and shared with the Calendar view.

Before You Begin

  • You must have permission to view the activity. If you do not have access, the activity subject will appear as plain text with no link.

  • The + Add Task and + Add Event buttons in the Activities panel are not affected by this feature — they continue to open the standard quick-create form as before.


Steps

Step 1 — Open a Record Detail Page

Navigate to any Lead, Account, Referral Source, or Intake Opportunity. Click the record name to open its detail page.


Step 2 — Locate the Activities Panel

On the right side of the detail page, scroll down until you see the Activities panel. It displays a list of all tasks and events linked to that record — both upcoming and past. Each item shows the activity subject, type (Task or Event), and status.


Step 3 — Click an Activity Subject

Click on the subject (title) of any task or event in the list. The subject appears as a clickable blue link.

To open the full activity detail page in a new browser tab instead, hold Ctrl and click (or use the middle mouse button). The modal will not appear — the link opens normally in a new tab.


Step 4 — The Modal Opens

A pop-up modal appears on screen. You remain on the same record page — no navigation occurs. The modal displays all details for the selected activity.

The modal displays the following fields:

The CRM user assigned to the activity

Start date/time and due date/time

Any notes or details saved on the activity

Related To

One or more linked records shown as clickable chips

Task, Call, Meeting, or other activity type

At the bottom of the modal, you will see action buttons. The buttons available depend on whether the activity is a Task or an Event — see the sections below.


Step 5 — Take Action From the Modal

5a. Mark a Task as Completed

Use this when you have finished a task and want to update its status to Completed.

  1. Open the modal by clicking the task subject in the Activities panel

  2. Click Mark as Completed at the bottom of the modal

  3. If the task is linked to one or more records, a comment box will expand below the button

  4. Type an optional comment in the box (e.g., a note about what was done)

  5. Click Confirm & Mark Complete

  6. A confirmation dialog appears — click Yes to proceed

  7. The modal closes and the Activities panel refreshes automatically

If you add a comment, it will be posted to every record listed under Related To in the modal, so the activity trail is visible for your whole team.


5b. Mark an Event as Held

Use this for Event-type activities (Calls, Meetings, etc.) once the event has taken place. The Mark as Held button appears in place of Mark as Completed for events.

  1. Open the modal by clicking the event subject in the Activities panel

  2. Click Mark as Held

  3. If the event is linked to parent records, the comment box expands — add an optional comment

  4. Click Confirm & Mark Held

  5. Confirm the dialog — the modal closes and the Activities panel refreshes


5c. Edit an Activity

Use this to update any details on the activity without leaving the current page.

  1. Open the modal for the activity you want to edit

  2. Click the Edit button

  3. A quick-edit form opens in a separate popup

  4. Make your changes and click Save

  5. The edit form closes and the Activities panel updates to reflect the changes


5d. Delete an Activity

Use this to permanently remove an activity from the CRM.

  1. Open the modal for the activity you want to delete

  2. Click the Delete button

  3. A confirmation prompt appears — click Yes to confirm the deletion

  4. For recurring activities, an additional prompt will ask whether to delete this occurrence only or all recurring instances — select the appropriate option

  5. The activity is removed and the Activities panel refreshes

⚠️ Warning: Deletion cannot be undone. Make sure you have selected the correct activity before confirming.


5e. View Full Activity Detail

Use this when you need to see the complete activity record, including its full history and all fields.

  1. Open the modal for the activity

  2. Click the View Detail button

  3. You are navigated to the full activity detail page


Verification / Expected Result

After any action is completed through the modal — marking complete, marking held, deleting, or saving an edit — the following happens automatically:

  • The modal closes

  • The Activities panel on the current record page refreshes to show the updated information

  • No manual page reload is needed

If you used the Edit action, the Activities panel will reflect any changes you saved, such as an updated subject, date, or status.


Tips & Notes

Comments post to all linked records. When you mark an activity as Completed or Held and include a comment, that comment is automatically posted to every record shown in the Related To section of the modal. For example, a task linked to John Smith (Lead) and Sunrise Clinic (Account) — adding a comment when marking complete will post that comment to both records automatically. This ensures the full activity trail is visible to your whole team without any extra steps.

Using the modal from the Calendar. The Calendar (ScheduleX view) already used this same modal when you clicked on an event in the calendar grid. That behavior has not changed. Because the modal is now shared between the Calendar and the Activities panel, any future improvements will apply in both places.

Recurring activities. The Delete action will ask whether to remove this occurrence only or all instances in the series. Select carefully — deletion cannot be undone.

Multiple linked records. An activity can be linked to records across different modules. The Related To section will show all of them, and any comment added will be posted to each one.

Opening in a new tab. Middle-click or Ctrl+click on any activity subject to open the full detail page in a new browser tab. This preserves the original navigation behavior when needed.
