Viewing Activities Across Referral Sources and Referral Contacts Using Roll-Up (CRM)

Learn how to use the Activity Roll-up feature between Referral Sources and Referral Contacts. This guide covers how to toggle the roll-up switch to view tasks and events across related records in one unified activity list.

Overview

Activities (tasks and events) can be logged on a Referral Source or on a Referral Contact. The Activities area now has a Roll up switch that lets you see activities from the related record in both directions - so you can review everything from one place instead of opening each record separately.

1. Before You Start

You will need: access to a Referral Source or a Referral Contact record, and at least one task or event logged so you can see the effect.

Access requirements: the feature is available to anyone who can view Referral Source and Referral Contact records. There is no setting to switch on and no special permission required.

⚠️ Note: If you do not see the Activities area or the Roll up switch on a record, refresh the page; if it is still missing, contact Dazos support to confirm the feature is enabled for your instance.

2. Open the Activities Area

Open a Referral Source or a Referral Contact record. You can view its activities in either place:

  • The Activities tab - the list with Subject, Status, Activity Type, and Related To columns.

  • The Activities panel on the right side of the record (Summary view).

Both have the Roll up switch near the top.

ON shows this record's activities together with the related record's activities; OFF shows only this record's own activities.

Upcoming / History tabs

Switch between not-yet-completed and completed activities. Both respect the Roll up switch.

Related To column

Shows the record each activity was actually logged on - useful for telling a rolled-up activity from a direct one.

💡 Tip: The Roll up switch starts in the ON position, so rolled-up activities are shown by default.

3. See a Referral Source's Activities (Roll up On)

On a Referral Source, turn Roll up ON to see its own activities together with the activities logged on its Referral Contacts.

💡 Tip: In this example the Referral Source shows its own task test RS - CRM-3204 plus the rolled-up event TEST-ac-RC. The Related To value TestRC tells you that activity was logged on a Referral Contact.

4. See a Referral Contact's Activities (Roll up On)

On a Referral Contact, the same switch shows its own activities together with the activities of its parent Referral Source.

💡 Tip: Here the Referral Contact shows its own event TEST-ac-RC plus the parent source's task test RS - CRM-3204 (Related To TestRS-3204).

5. Turn Roll up Off

Switch Roll up OFF to focus on only the activities logged directly on the record you are viewing.

💡 Tip: With Roll up OFF on the Referral Source, only test RS - CRM-3204 remains - the rolled-up contact activity is hidden.

6. How Roll-up Works

  • Roll up only changes what you see; it does not move or copy any activity. Each activity still belongs to the record it was logged on.

  • A Referral Contact rolls up to the one Referral Source it is linked to. A Referral Source rolls up the activities of all of its Referral Contacts.

  • Both tasks and events roll up, and both the Upcoming and History views respect the switch.

7. Frequently Asked Questions

Q: How do I see only the activities logged on the record I am viewing?

Turn the Roll up switch OFF.

Q: Does turning Roll up on or off change my data?

No. Roll up only affects what is displayed. Activities are never moved, copied, or deleted.

Q: Why am I seeing an activity that was logged on a different record?

Roll up is ON. Check the Related To column to see where it was logged, or turn Roll up OFF to hide related-record activities.

Q: Do completed activities roll up too?

Yes. Open the History tab; it respects the Roll up switch the same way the Upcoming view does.

Q: Does this work for both tasks and events?

Yes - both task and event activities roll up.

Q: The switch is on again after I reload the page. Why?

The Activities area opens with Roll up ON by default each time you open a record. Switch it OFF whenever you want to see only that record's own activities.
