Overview
When patient data is imported into Dazos CRM with discharge dates and types, those patients may not automatically appear in Alumni lists. This guide shows you how to manually update the CRM status to ensure imported discharged patients display correctly in Alumni views.
Before You Begin
Ensure you have:
Access to patient records in Dazos CRM
Permission to edit patient status fields
Confirmed that the patient has both Discharge Date and Discharge Type populated from the import
Steps
Navigate to the patient record: Open the patient record that should appear in Alumni but currently doesn't.
Locate the Status field: Find the patient status field (typically labeled as "Admitted" or similar).
Change status to "Discharge Completed": Click on the status dropdown and select "Discharge Completed" from the available options.
Complete all dependent fields: Fill in all required dependent fields that appear, including:
Discharge Reason
Any other mandatory discharge-related fields
Save the record: Click Save to apply all changes to the patient record.
Repeat for other affected patients: Follow the same process for any other imported patients not appearing in Alumni lists.
Verification / Expected Result
After completing these steps, you should see:
The patient status shows as "Discharge Completed"
All dependent discharge fields are populated
The patient now appears in Alumni lists and views
Alumni reports include the previously missing patients
Important Note About Imported Data
💡 Key Insight: Even when patient data is imported with discharge dates and types from your EMR, the CRM status field requires manual updating to "Discharge Completed" for Alumni list visibility.
⚠️ Remember: Both the discharge information AND the CRM status must be properly set. Having discharge dates and types alone is not sufficient for Alumni list inclusion.
Troubleshooting / Common Issues
Patient still not appearing in Alumni:
Verify all dependent fields are completely filled out
Ensure the Discharge Date is visible and saved in the record
Check that no required discharge fields were left empty
Cannot edit the status field:
Confirm you have the proper permissions to edit patient records
Contact your administrator if the field appears locked or unavailable
When to Contact Support
Contact Dazos Support if:
Multiple patients are affected and manual updates are impractical
The status field cannot be edited despite proper permissions
Patients still don't appear in Alumni after following all steps
You need assistance with bulk status updates for large numbers of imported records
