Troubleshooting Admitted Status Showing as 'Unknown' for KIPU-Integrated Patients (CRM)

Overview

This guide explains why a patient admitted in KIPU EMR may show an Admitted Status of 'Unknown' in Dazos CRM, and how to resolve it. This issue is specific to patients whose KIPU record is missing a completed Discharge Summary.

Symptom

A patient is confirmed as admitted in KIPU EMR, but their Admitted Status in Dazos displays as 'Unknown' instead of the expected value (e.g., 'In Treatment').

This may affect one or more patient records and is not caused by a broken integration or incorrect field mapping.

Cause

When a patient in KIPU does not have a completed Discharge Summary under the Discharge Planning section, the data payload that KIPU sends to Dazos arrives empty for that patient.

Because Dazos receives no status value from the KIPU payload, it cannot assign a valid Admitted Status and defaults to 'Unknown'.

⚠️ Note: This is not a connection issue. The integration between Dazos and KIPU may be functioning correctly — the empty payload is caused by missing data on the KIPU side.

Solution

  1. Log in to your KIPU EMR instance.

  2. Navigate to the affected patient's record.

  3. Go to the Discharge Planning section.

  4. Locate the Discharge Summary and complete all required fields.

  5. Save the Discharge Summary in KIPU.

  6. Return to Dazos CRM and pull an update for the patient record.

  7. Verify that the Admitted Status has updated from 'Unknown' to the correct value.

Expected Result: Once the Discharge Summary is completed in KIPU and the update is pulled in Dazos, the Admitted Status will reflect the correct value instead of 'Unknown'.

Escalation

Contact Dazos Support if:

  • The Discharge Summary is already completed in KIPU but the Admitted Status still shows as 'Unknown' in Dazos.

  • Multiple patients are affected and completing the Discharge Summary does not resolve the issue.

  • You are unsure which section of KIPU contains the Discharge Summary or Discharge Planning fields.

  • You need assistance pulling the update or reviewing the KIPU payload for a specific patient record.
