How the Portal Edit Page Works
When a portal user clicks the edit (pencil) icon on a submitted form, the edit page now displays only the sections and fields that belong to that specific form type — the same filtering already applied on the detail (read-only) view.
For example, if a guardian opens an ROI form to edit it, they will see only the ROI form's fields, plus any fields that are shared across all form types. Fields from other form types (such as Call Sheet, Mentor, or Mental Health) will not appear.
⚠️ Note: Prior to a recent platform fix, the edit page did not apply this form-type filtering, causing fields from every form type to appear at once. This has been resolved. If you are still seeing unexpected fields on the edit page, please contact Dazos Support.
How Field Visibility Is Controlled
Two settings determine whether a field appears on the portal edit page:
Read & Write permission: A field must be set to Read & Write under CRM Settings → Customer Portal → Pre Assessments → Fields & Privileges for it to be editable in the portal. Fields set to Read Only will display but cannot be edited. Fields with no portal access will not appear at all.
Form Type assignment: Each field can be assigned to a specific form type, or left with a blank Form Type.
A field with a blank Form Type is considered a shared field and will appear on every form type's edit page.
A field assigned to a specific Form Type (e.g., ROI, Call Sheet) will appear only on that form type's edit page.
How to Configure Field Editability in the Portal
Go to CRM Settings → Customer Portal → Pre Assessments → Fields & Privileges.
Locate the field you want to make editable for portal users.
Set the field's permission to Read & Write.
Confirm the field's Form Type assignment:
Leave the Form Type blank if the field should appear on every form.
Set a specific Form Type if the field should only appear when editing that particular form.
Save your changes.
💡 Tip: After saving, have a portal user test the edit page for the relevant form type to confirm only the intended fields are displayed.
Tips & Notes
✅ Best Practice: Review the Form Type assignment for every field you configure as Read & Write. Shared fields (blank Form Type) will appear on all forms, which may expose more information than intended.
⚠️ No edit icon visible? If portal users do not see a pencil/edit icon on a submitted form, verify that at least one field on that form type is set to Read & Write. If no fields are editable, the edit option may not appear.
