Troubleshooting Phone and Email Fields Swapped in Intake Opportunities (CRM)
This guide explains what to do when phone numbers appear in the Primary Email field (or vice versa) in Intake Opportunities. This is a configuration issue caused by a misconfigured reference field — it is not a lead conversion data mapping problem.
Symptom
In the Intake Opportunities module, the Primary Email field displays a phone number, and/or the Primary Phone field displays an email address. The data appears to be swapped or mismatched between the two fields.
Cause
This issue occurs when a reference field in the Intake Opportunity module has been configured to pull data from the wrong source field. For example, a reference field intended to display the account's primary email address may have been incorrectly pointed to the phone number field instead.
Because reference fields pull live data from a linked source, any misconfiguration at the field level will cause the wrong data to appear — regardless of how the lead conversion data mapping is set up.
⚠️ Important: This is a reference field configuration issue, not a lead conversion data mapping problem. Checking or adjusting the lead conversion data mapping will not resolve this issue.
Solution
The fix is to create a new reference field in the Intake Opportunity module that correctly targets the Accounts > Primary Email field. Follow the steps below.
Step 1 — Navigate to Module Layouts & Fields
Go to Settings → CRM Settings → Module Management → Module Layouts & Fields.
Select the Intake Opportunities module from the dropdown.
Step 2 — Identify the Misconfigured Reference Field
Locate the existing reference field that is displaying the incorrect data (e.g., a Primary Email field that is showing a phone number).
Open the field and check the Associated Field Name setting. If it is pointing to the phone number field instead of the primary email field, this confirms the misconfiguration.
Step 3 — Create a New Reference Field
Click + Add Custom Field in the appropriate section of the Intake Opportunity layout.
Set the Field Type to ReferenceField.
Enter a clear label name (e.g., Primary Email).
In the Associated Field Name dropdown, search for and select Accounts > Primary Email.
Click Save.
Step 4 — Remove or Replace the Misconfigured Field
Once the new reference field is confirmed to be displaying the correct email data, remove the old misconfigured field from the layout or delete it to avoid confusion.
Repeat this process for any other fields that are pointing to incorrect source fields (e.g., a phone reference field pointing to an email source).
Verification / Expected Result
After creating the corrected reference field, open an Intake Opportunity record and confirm that the Primary Email field displays the account's email address and the Primary Phone field displays the correct phone number.
✅ To confirm: Open an Intake Opportunity linked to a known Account record and verify that both the email and phone fields match the contact information on the Account.
Troubleshooting / Common Errors
Fields still showing incorrect data after creating the new reference field: Ensure the old misconfigured field has been removed from the layout. If both fields are visible, confirm which one is the newly created field and verify its source is set to Accounts > Primary Email.
Unsure which field is misconfigured: In Module Layouts & Fields, open each reference field related to email or phone and check the Associated Field Name setting to identify which source it is pointing to.
Phone field also appears misconfigured: Apply the same process — create a new reference field targeting Accounts > Primary Phone and replace the incorrectly configured field.

You cannot locate the correct source field (Accounts > Primary Email) in the Associated Field Name dropdown.
