Create New Opportunity When Patient Found in EMR Census' Setting Should Remain Disabled (CRM)

Overview

The setting "Create a New Opportunity in Dazos CRM when a patient is found in the EMR census but is not in the CRM" is designed for a very specific use case and should remain disabled for most instances. Enabling it without a confirmed need can result in severe duplication of intake opportunity records.

When to Use / Why It Matters

In at least one reported case, enabling this setting caused a single intake opportunity to be duplicated more than 400 times. The root cause was that the sync logic responsible for checking whether a patient already existed in the CRM was not working correctly, causing the system to recreate the same intake opportunity every time the sync ran.

Because the potential impact is significant — affecting data integrity across your CRM — this setting should only be enabled if explicitly recommended by your Dazos Customer Success Manager or Support team for your specific configuration.

Default Recommended State

  • Disabled (OFF) — This is the correct default state for most instances.

  • ⚠️ Enabled (ON) — Only appropriate for a very specific use case confirmed by Dazos. Do not enable without guidance.

What to Do If Duplication Has Already Occurred

  1. Turn the setting off immediately to prevent any additional duplicate records from being created.

  2. Contact Dazos Support and report the number of duplicate records observed and which opportunities are affected.

  3. Do not attempt to manually delete duplicates in bulk without guidance, as this may affect related records or reporting.

  4. Allow the Dazos support and development team to investigate the root cause and perform any necessary cleanup.
