Overview
Every facility added to Dazos IQ must be assigned its own unique Facility ID. If two facilities share the same Facility ID, their claims data will be incorrectly merged, causing claims from one facility to appear under the wrong facility in IQ. This article explains why unique Facility IDs are required, what to use as the ID, and what happens if a conflict occurs.
Key Concepts
Facility ID: A unique identifier assigned to each facility in Dazos IQ. It is used by the system to correctly map and display claims data under the correct facility.
Claim misattribution: When two facilities share the same Facility ID, IQ cannot distinguish between them. Claims from one facility will be attributed to the other, causing incorrect data to appear in reports and dashboards.
EIN (Employer Identification Number): A common source for the Facility ID. Each facility typically has its own EIN, which makes it a reliable unique identifier.
Billing platform ID (e.g., CollaborateMD): If your organization uses a connected billing platform such as CollaborateMD, the unique ID assigned to the facility in that system can also serve as the Facility ID in IQ.
How It Works
When a new facility is added to Dazos IQ, the Facility ID entered during setup is used to map incoming claims to that facility. If the Facility ID matches an existing facility's ID, the system cannot differentiate between the two, and claims data becomes merged and misattributed.
For example: if Facility A and Facility B are both assigned the same Facility ID, claims that belong to Facility A may display under Facility B, and the correct facility may disappear as a selectable option in IQ reports.
To prevent this, always confirm that the Facility ID you are entering for a new facility is not already in use by another facility on the same instance.
What to Use as the Facility ID
The Facility ID should be one of the following, depending on what is available for the facility being added:
The facility's EIN — Each facility registered with a unique EIN can use that EIN as its Facility ID in IQ.
The facility's unique ID in the connected billing platform — For example, if your organization uses CollaborateMD, the unique facility ID assigned within CollaborateMD can be used as the Facility ID in IQ.
Whichever value you use, confirm that it is unique to the specific facility and not shared with any other facility already configured in IQ.
Important Notes
If a Facility ID conflict has already occurred: Contact Dazos Support. The dev team can assign a temporary placeholder Facility ID to the affected facility so that existing claims data displays correctly again. Once you have confirmed the correct unique Facility ID for the new facility, provide it to the support team and they will update the record accordingly.
Before adding a new facility to IQ: Have the facility's EIN or billing platform ID ready. Confirm with your billing team or CFO that the ID is unique to that specific facility and is not shared with any other location already in IQ.
⚠️ Warning: Shared Facility IDs can cause existing facility data to stop displaying correctly in IQ. If you notice that a facility has disappeared as a selectable option, or that claims are appearing under the wrong facility after a new facility was added, a duplicate Facility ID is a likely cause. Contact Dazos Support immediately so the conflict can be resolved.
