This is optional and OFF until an administrator turns it on. With the setting on, every Pre Assessment on the original opportunity is copied onto the new one: same answers, same clinical data, in the same order - so admissions staff no longer re-enter intake data by hand.
1. What This Feature Does
• Duplicating an Intake Opportunity also creates copies of ALL its Pre Assessments. • Copies are complete: every answer, the Treatment History, Substances of Abuse and Medication List rows all carry over.
• Copies keep the original order - the oldest Pre Assessment stays oldest, the newest stays newest. • Each copy gets a fresh auto-generated title (for example PAA11, PAA12), exactly as if it had been created by hand.
• Copies are fully independent - editing a copy never changes the original, and editing the original never changes the copy.
• Copies are NOT sent to your EMR automatically. Pushing a Pre Assessment to Kipu, Sunwave or any other EMR remains the usual manual action.
Tip
This is a company-wide setting and it ships OFF. Until an administrator turns it on, duplicating an opportunity behaves exactly as it does today.
2. Turning It On (Administrators)
1. Click the gear icon to open Settings.
2. Under Configuration, choose Company Details.
3. Click Edit, tick "Copy PAA when duplicating an Intake Opportunity", and Save.

3. Duplicating an Opportunity with Its Pre Assessments
1. Open the Intake Opportunity you want to duplicate.
2. Click the "..." (More) menu on the right side of the record and choose Duplicate. 3. The duplicate form opens pre-filled - adjust anything you need, then Save.

After saving, open the Pre Assessment tab of the new opportunity. Every Pre Assessment from the original is there as an independent copy with a fresh title:

4. What Carries Over - and What Does Not
• Carried over: every Pre Assessment answer and text field, Treatment History rows, Substances of Abuse rows, the Medication List, and the Pre Assessment type.
• Shown automatically: Related Contacts and Insurance Policies - these belong to the patient's Account, and the duplicate is linked to the same patient, so the same lists appear without being copied.
• Deliberately NOT carried over: the EMR "sent" status (each copy starts as never sent), digital signatures, and file attachments.
Tip
Because a copy starts as "never sent", your EMR is never contacted by the duplication itself. Send the copy to the EMR manually if and when you need to.
5. Frequently Asked Questions
Q: I duplicated an opportunity and no Pre Assessments were copied. Why? Most likely the company setting is off - ask an administrator to check Settings > Company Details. Copies are also skipped when the original has no Pre Assessments, or when the ones it has are in the Recycle Bin.
Q: Do the copies keep the original titles?
No. Each copy gets the next auto-generated title (PAA11, PAA12, ...), the same numbering used when a Pre Assessment is created by hand. This keeps every title unique. The content inside is identical to the original.
Q: If I edit a copied Pre Assessment, does the original change?
No. The copies are completely independent records.
Q: Will duplicating push anything to our EMR?
No. The copies carry no EMR status and no push happens automatically. Sending a Pre Assessment to the EMR remains a manual action.

Q: The original had several Pre Assessments - are all of them copied?
Yes, all of them, in the same order (oldest first). Pre Assessments sitting in the Recycle Bin are not copied.
Q: Who can use this?
Anyone who can duplicate an Intake Opportunity. The copy only happens when the user can also view the original record.
