Sorting Comments by Date on a Record (CRM)

The Comments section on a record lets you choose the order conversations are shown in: newest at the top (the way it has always worked) or oldest at the top, so you can read a record's history from the beginning.

The order applies to everything in the list at once - the record's own comments, the comments pulled in from linked records by the Roll up switch, and the replies inside each conversation.

1. Before You Start

You need a Dazos CRM login and a record that has a Comments section - for example an Intake Opportunity, an Account, a Lead, a Referral Source or a VOB.

Nothing needs to be switched on by an administrator. The control appears automatically for everyone and starts on "Newest First", which is how comments have always been ordered.

2. Where to Find the Control

Open a record and look at the header row of the Comments section. Next to the "Roll up" switch there is a dropdown showing the current order.

It appears in both places comments are shown: the Comments panel on the record summary, and the full Comments tab.

3. Conversations Move as a Whole

A conversation - a comment together with its replies - is treated as one block. It moves as one, and its replies always stay underneath the comment they answer. A reply is never shown on its own, separated from its conversation.

With "Newest First", a conversation is placed by its MOST RECENT comment. This is the part that saves you time on a busy record: a conversation started weeks ago that somebody replied to this morning appears at the TOP, with its replies underneath. You no longer have to scroll to the bottom of a fifty-comment record to find what changed today.

Newest First - the conversation from 11 August leads the list because it received the most recent reply; its two replies travel with it

Tip

Turning Roll up on or off does not reset your choice, and neither does scrolling down to load more comments. 4. Reading a Record from the Beginning

1. Open the Comments section on any record.

2. Open the sort dropdown in the Comments header.

3. Choose "Oldest First".

4. The list reorders straight away, earliest conversation at the top.

With "Oldest First" a conversation is placed by its FIRST comment, so the record reads from the beginning in the order things actually happened - a conversation is not pulled forward just because someone replied to it recently.

Oldest First - conversations run from the earliest onwards

5. Opening a Whole Conversation

Two links sit under each comment that has replies, and they do different things: • "View Thread" opens the entire conversation at once - every reply, including replies to replies - and jumps to it.

• "N Replies" opens one level at a time, which is handy for stepping through a long conversation gradually.

View Thread opens the whole conversation; the replies stay nested under the comment they answer

6. Your Choice Is Remembered

Once you pick an order it stays applied. It survives reloading the page, leaving the record and coming back, turning Roll up on or off, and scrolling down to load older comments. It also applies on other records, so you do not have to set it again on every screen.

The Comments panel on the record summary follows the same setting.

Tip

The choice is saved in the browser you are using. If you move to a different computer or browser, choose your preferred order once more there.

7. Frequently Asked Questions

Q: Why is an old conversation at the top of the list?

Because somebody replied to it recently. With "Newest First" a conversation is placed by its most recent comment, so an old conversation that is active again rises to the top and brings its replies with it. That is deliberate - it is how you spot the latest activity without hunting for it. Q: Does this change what other people see?

No. The order you choose applies only to your own view. It does not change anything for your colleagues and it does not change the comments themselves.

Q: Will my Comments section look different if I do nothing?

The control starts on "Newest First", the familiar order. The one change you will notice without touching anything is that conversations are now placed by their most recent comment rather than by the date they were started.

Q: Why is a comment from another record showing above the ones on this record? Because the Roll up switch is on and that comment belongs to a linked record. With Roll up on, everything is placed in one timeline whichever linked record it belongs to. Turn Roll up off to see only this record's comments.

Q: Can I still see which record a rolled-up comment came from?

Yes. Rolled-up comments keep their label showing the record they belong to, with a link to open it. Q: I set Oldest First yesterday and today it is back to Newest First - why? The preference is stored in your browser. It resets if you use a different browser or computer, or if your browsing data was cleared. Just choose it again.

Q: Does sorting change which comments I can see?

No. Sorting only changes the order. Comments on linked records that you do not have permission to view stay hidden in every order.
