Comments Screen Under the Conversations Menu (CRM)

A new Comments screen under the Conversations menu shows every comment you are allowed to see, across every record type, as one feed.

Comments have always lived inside individual records: a Lead, an Organization, an Intake Opportunity, a VOB. To know what your team said today, you had to open record after record.

A new Comments screen under the Conversations menu shows every comment you are allowed to see, across every record type, as one feed. You can search it, filter it by who was tagged, who wrote it, which record type it belongs to, and when it was written, and open any comment on its record with one click. The screen keeps itself up to date while it is open, so it works like an inbox for your team's conversations.

1. Before You Start

You will need:

  • A CRM user account. Any user can open the screen; no extra permission is required.

  • Records you are allowed to view. The screen shows a comment only when you can open the record it was written on. Your existing record permissions and sharing rules decide this, exactly as

  • they do for list views.

Access requirements: available to every user on both InsightsTx and AllevaCRM. Nothing needs to be enabled in your instance.

If you cannot find the Comments entry in the left menu described below, your instance may not have received the update yet. Contact Dazo support and reference CRM-3808.

Tip: The screen opens on the comments where you were @mentioned. If it looks emptier than you expected, remove the Tagged 1 filter chip (see section 6) to see every comment.

2. What Changed

Before

Now

Comments could only be read inside the record they were written on

One Comments screen lists every comment across all record types, newest at the bottom

Finding a comment meant

remembering which record it was on

One search box covers comment text, record name, author, tagged user and record ID.

No way to see "everything where I was mentioned"

The screen opens pre-filtered to comments that @mention you; Tagged, Author, Record Type and Date filters narrow the list further.

Reading a comment in context meant navigating to the record by hand

Clicking a comment opens its record in a new tab with the comments section open, and that comment highlighted

A page had to be refreshed to see new activity

New comments posted by others appear on their own while the page is open

Replying and posting still happen on the record itself, in the comments section you already know. The Comments screen is for reading, finding, and jumping to the right place.

3. Open the Comments Screen

1. Open the left menu.

2. If your CRM has SMS Conversations or Facebook Messenger switched on, click Conversations to expand the group, then click Comments.

3. If neither channel is active on your instance, Comments appears as a top-level menu item of its own. Click it directly.

The Conversations group. On an instance without SMS or Facebook Messenger, Comments sits directly in the main menu instead.

The page opens with the title Comments and the subtitle Every comment across the CRM, newest at the bottom: the latest twenty comments load first, and the feed scrolls to the newest one.

On opening, the Tagged filter is set to you. The blue badge on the filter icon shows the number of filters in force. Names in these examples come from a test environment.

4. Reading the Feed

Comments are listed oldest at the top and newest at the bottom, like a chat. Each row shows:

Element

Meaning

Initials

The author's initials. A ? means the comment was created without a CRM user, for example through an integration or the patient portal. Portal comments show the Portal user as the author

Author

name

Who wrote the comment

on Record

name

Record type

badge

The kind of record: Leads, Accounts, Intake Opportunities, VOB, Referral Sources, and so on

reply

Shown when the comment is a reply to another comment

Time

For today's comments, a relative time such as 5 min ago or 3 h ago; for older comments the time of day

Tagged:

Everyone who was @mentioned in the comment, one chip per person

Day separators break the feed into days: Today, Yesterday, the weekday name for the current week, and the full date beyond that. All dates and times are shown in your own time zone, as set on your CRM user.

With no filters, every comment you can see is listed. Comments created through an integration show a question mark instead of initials.

Long comments are cut to three lines. Click Read more to see the whole text and Show less to fold it again. Links inside a comment open in a new tab.

Older comments load as you scroll. Scroll up past the top of the feed, and the next twenty older comments are added above, keeping your place. If the feed is too short to scroll, a Load older comments button appears instead. When there is nothing older, the feed says You have reached the oldest comment.

If nothing matches your search or filters, the feed says No comments match your current filters. If the list can't load, it says Comments could not be loaded. Please try again.

5. Search

The search box at the top of the page filters the feed as you type. One search covers all of these at once:

Searches

Example

Comment text

transcript finds every comment containing that word

Record name

Smith finds comments on any record whose name contains Smith

Author

Jenna finds comments written by a user named Jenna

Tagged user

Jenna also finds comments that @mention Jenna

Record ID

17644 finds comments on the record with that ID

Click the × at the right end of the box to clear the search. Search and filters combine: a search runs inside whatever filters are in force.

Search applies as you type. The × inside the box clears it.

6. Filters

Click the sliders icon at the right end of the search box to open the filter panel. Four filters are available. Each one applies as soon as you change it; there is no separate Apply button for the panel.

Filter

What it does

Tagged

Comments that @mention one or more of the selected people. Pick several to see comments mentioning any of them. Set to you when the page opens

Author

Comments written by one or more of the selected people

Record

Type

Comments on one kind of record, for example only Leads or only Intake Opportunities. The list includes the record types with comments enabled on your instance.

Date

Comments written in a date range. Click the field to open a calendar with quick picks: Today, Yesterday, Last 7 days, Last 30 days, This month, and Custom Range. Quick picks apply at once; for a custom range, pick a start and an end day and click Apply.

Filter chips. Every filter in force shows as a chip beside the filter icon, such as Tagged 1, Author 2, Record Type: Accounts, or Date: …, so you can see what is applied even when the panel is closed. The blue badge on the icon shows the count.

Click a chip to open the panel on that filter.

Click the × on a chip to drop just that filter.

Click Clear filters in the panel to reset all four at once.

A chip per filter in force. Click the × on the chip to remove that filter; click Clear filters to remove them all.

Tip: To review everything said today, remove the Tagged chip and set Date to Today. To catch up on what was asked of you this week, keep Tagged on yourself and set Date to Last 7 days.

7. Open a Comment on Its Record

Click anywhere on a comment row, or on the record name link in it. The record opens in a new browser tab with its Comments section open and the comment you clicked highlighted. The Comments screen stays as it was in the original tab so that you can work through a list of comments one by one.

Reading in full, replying, editing, and attaching files all happen here, on the record, exactly as before.

On the record you can:

  • read the whole thread, including replies;

  • Reply to the comment, @mentioning colleagues as usual;

  • post a new comment on that record;

  • edit or delete your own comments where your role allows it.

  • Anything you post on the record appears in the Comments screen within a few seconds (see section 8).

Important: The Comments screen does not have its own reply box. If a comment was deleted after you opened the screen, or sits beyond the first page of the record's comments, the record opens normally without a highlight. Use the record's own comment list to find it.

8. Live Updates While the Page Is Open

While the Comments screen is open and visible in your browser, it checks for new comments every 15 seconds and adds any it finds at the bottom of the feed. New comments respect your current search and filters.

If you are already at the bottom of the feed, it follows along and shows the new comment straight away.

If you have scrolled up to read older comments, a New comments button appears. Click it to jump to the bottom.

When the browser tab is hidden (you switched to another tab), checking pauses and resumes when you come back.

You don't need to refresh the page during the day.

10. Frequently Asked Questions

Q: The screen opened and shows only a few comments, or none. Where is everything else? The page opens filtered to comments that @mention you (the Tagged 1 chip). Click the × on that chip, or Clear filters, to see every comment you are allowed to see.

Q: Can I reply from the Comments screen? Not directly. Click the comment to open its record in a new tab, with the comments section open and the comment highlighted. Reply there; your reply then appears in the Comments screen on its own.

Q: Why do I not see a comment that a colleague can see? You can only see comments on records you are allowed to open. If you cannot open the record, its comments do not appear in your feed. Ask your administrator about your role or sharing rules.

Q: Some comments show a question mark instead of initials and no author. Why? Those comments were created without a CRM user, typically by an integration or an automated process. Comments posted from the patient portal show Portal user as the author.

Q: The Record Type list does not include a module I use. The list includes the record types with comments enabled on your instance. A module that does not support comments has nothing to show here.

Q: Are times shown in my time zone or the company's? In yours. Day separators and times use the time zone set on your CRM user, so two colleagues in different time zones may see the same comment under different day headings.

Q: Do I have to refresh to see new comments? No. While the tab is open and visible, new comments appear within about 15 seconds. If you have scrolled up, a New comments button takes you to them.

Q: Can I export or bulk-manage comments from this screen? Not in this release. The screen is for reading, searching, filtering and jumping to the record.

Q: Does this work on AllevaCRM as well as InsightsTx? Yes. The screen is the same on both brands.

11. Need Help?

If the Comments screen does not behave as described:

1. Check the filter chips beside the filter icon and the badge on it. Click Clear filters and clear the search box, then look again.

2. Open the record directly and confirm the comment is visible in its comments section. If it is not, it was deleted or the record is in the Recycle Bin.

3. If the feed says Comments could not be loaded, reload the page once. If the message returns, note the time.

4. Contact Dazos support with what you searched or filtered, the approximate time, and the record involved, referencing CRM-3808.
