What the integration does for you
Dazos connects your admissions work in the CRM to your clinical record in Rethink, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Rethink; the two stay in sync on their own.
Dazos sends to Rethink | Rethink sends back to Dazos |
A new client, with name, date of birth, gender and address | Who has been admitted, and when |
Location, client status and service intensity (level of care) | Discharges, discharge dates and discharge type |
Insurance policies as Rethink funders, in priority order | The patient's MR Number |
Emergency and related contacts | The admitting level of care |
Pre-admission assessment, VOB and other paperwork, filed into your Rethink folders | Patients admitted directly in Rethink (optional) |
Updates to name, date of birth, address and status when you save |
The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.
Highlights
Insurance arrives as Rethink funders. Each active policy is sent as a funder on the client, matched by payer code. If a policy can't be sent, Dazos tells you which one and why.
Contacts and paperwork go with the patient. Emergency and related contacts are added to the Rethink client, and PDFs land in the Rethink folder you choose.
Changes flow on save. Edit the patient's name, date of birth or address in Dazos, and Rethink is updated when you save.
Admissions start the Treatment Episode. When Rethink shows the patient admitted, Dazos moves the record to Admitted and starts the Treatment Episode.
Control over who can send to Rethink. A Push to EMR permission on each role decides who can create Rethink patients by hand.
Day to day for your admissions team
Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.
1. Check the three required fields
Rethink needs a location, a client status and a service intensity, so before sending make sure the Intake Opportunity has a Treatment Program, an Admitting to LOC, and an Admitted Status or Discharge Type. Each one must be matched to Rethink during setup. If something is missing, Dazos tells you which one.
2. Send the patient to Rethink
When a patient is ready, choose one of:
Click Admit Patient and choose Admit and Send to EMR to admit and create the Rethink client in one step.
Or open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Rethink.
Or let it happen automatically: your administrator can set up a workflow that sends the patient, for example when they reach a certain stage.
Dazos warns you before sending the same patient twice. After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's Rethink details. If your Intake Opportunity has an EMR ID field, Dazos fills it with the Rethink client ID.
3. Insurance, contacts and paperwork follow automatically
When the client is created, Dazos also sends:
Every active insurance policy, in priority order, as a Rethink funder. A policy is skipped if its payer code isn't matched to a Rethink funder, the funder has no service lines in Rethink, or the policy is missing a Health Plan ID or policyholder relationship. The success message lists anything skipped.
Emergency and related contacts. The emergency contact is marked as primary.
The latest pre-admission assessment, the VOBs, and the documents on the Intake Opportunity and Account, filed into the Rethink folders you matched. Your administrator chooses which of these go over.
4. Keep details current
Update the name, date of birth, gender, address or status on the Intake Opportunity or Account in Dazos, and Rethink is updated when you save. Insurance and contacts are sent once, when the client is created.
What comes back from Rethink
Every hour, Dazos checks Rethink for clients changed since the previous day and refreshes every linked patient still in treatment. Nobody on your team needs to do anything. Here is exactly what changes, and when.
Step 1: Matching the patient
Patients you send from Dazos are linked right away. For a client added in Rethink, Dazos links them to an Intake Opportunity only when these match:
First and last name (suffixes such as Jr., II and III are ignored)
Date of birth
Admission date, exact or within 2 days of the date the client was added in Rethink
If the matching Intake Opportunity already has a different MR Number, Dazos treats the client as a new stay instead of linking. Once linked, the patient's Rethink MR Number is filled in on the Intake Opportunity.
Step 2: Ongoing updates
For every linked patient still in treatment, Dazos updates:
What updates in Dazos | What it shows | Always or optional |
MR Number | The client's medical record number from their Rethink funder record | Always |
Admitted Status | In Treatment once Rethink shows an MR Number and the admission date has arrived; Discharged: Completed once Rethink shows a discharge date | Always |
Sales Stage | Moves to Admitted when Rethink shows the patient admitted. This starts your admission workflows and the Treatment Episode. | Always |
Admission Date | The date the client was added in Rethink, once Rethink shows an MR Number | Always |
Discharge Type | The Rethink client status translated to your discharge types | Always |
Admitting to LOC | The Rethink service intensity, set when the patient is first admitted | Always |
Discharge Date | The discharge date from Rethink | Turned on during setup |
Current LOC and level-of-care history | A new history entry each time the level of care changes | Optional |
Name, date of birth and demographics | Corrections made in Rethink | Optional |
Patients admitted only in Rethink. If a client is admitted directly in Rethink and has no Intake Opportunity, Dazos can add an admitted Intake Opportunity to their existing Dazos Account (matched by first name, last name and date of birth), so admissions and census reports stay complete. This is optional.
After discharge. Once Rethink shows the patient discharged, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in Rethink. If you need updates again, click Unlock EMR Updates.
Your Implementation Specialist will confirm which optional updates to turn on during setup.
Seeing what changed. Every change Rethink makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the EMR ID, MR Number, level of care, location and the last sync time.
Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update.
Getting started: what we need from you
Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.
Rethink API credentials (Client Id and Client Secret) and a Location Alias for the connection
Which Treatment Programs go to which Rethink location (Dazos pulls your locations, funders and client statuses from Rethink)
Which Rethink client status matches each Admitted Status and Discharge Type you use in Dazos
Which Rethink service intensity matches each Dazos level of care
The payer code for each Rethink funder, and service lines set on each funder in Rethink
The Rethink folders where PAAs, VOBs and documents should be filed
Which staff roles may send data to Rethink
Whether patients admitted directly in Rethink should be added to Dazos
To pick up clients added in Rethink, the Data Sharing ways setting must be EHR to Dazos or Both ways. There is no separate test mode for Rethink in Dazos, so plan your first sends with your Implementation Specialist.
Common questions
How fast do Rethink changes show up in Dazos?
Within the hour. For one patient right away, use Pull Updates from EMR.
Why didn't a Rethink patient link to our record?
Name, date of birth and admission date (within two days of the date the client was added in Rethink) must all match. Fix any typo and the next hourly check links them.
The send failed with "not mapped" or "not selected". What now?
Rethink requires a location, status and service intensity. Fill in the Treatment Program, Admitting to LOC and Admitted Status on the Intake Opportunity, or ask your administrator to match the value to Rethink, then send again.
An insurance policy was skipped. Why?
The message names the policy and the reason: its payer code isn't matched to a Rethink funder, the funder has no service lines in Rethink, or the Health Plan ID or policyholder relationship is missing.
Can we have several Rethink locations?
Yes. Each Treatment Program is matched to a Rethink location, and the patient goes to the location for their Treatment Program.
Are emergency or related contacts sent?
Yes, when the client is created. Contacts without a name or relationship are skipped and listed in the message.
I can't see the Rethink send options.
Your role may not have the Push to EMR permission. Ask your administrator.
