Valant EMR Integration: Customer Overview (CRM)

An overview of how Dazos CRM and Valant work together, what each system sends, what your admissions team does day to day, and what we need from you to get started.

What the integration does for you

Dazos connects your admissions work in the CRM to your patient records in Valant, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Valant. Patients, insurance, contacts and paperwork go over from Dazos, and demographic corrections made in Valant come back on their own.

Dazos sends to Valant

Valant sends back to Dazos

A new patient, with name, date of birth, gender, phone numbers, email and address

Corrections to name, date of birth, phone numbers and email

Insurance policies, in priority order

Any other patient details your field mapping brings back, such as gender and address

Family and emergency contacts

The patient's Valant Patient ID, saved as the MR Number

The patient's program, based on Level of Care

Pre-admission assessment, VOB and other documents as PDFs

Demographic updates when you choose to send them

The result: less double entry, fewer typos, and patient details in Dazos that match what your clinical team sees in Valant.

Highlights

New this release: the Valant integration.

  • One click creates the whole chart. Sending a patient creates them in Valant, then adds their insurance, family and emergency contacts, and paperwork in the same step.

  • No accidental duplicates. Before creating a patient, Dazos checks Valant for one with the same name and date of birth and uses that patient if there's exactly one match.

  • Link patients who are already in Valant. Search Valant from the Intake Opportunity and link the existing patient instead of re-creating them.

  • Demographics stay in sync. Every hour, Dazos refreshes each linked patient's details from Valant.

  • Smart routing. Treatment Programs, Levels of Care, insurance companies, document folders and staff are matched to Valant once, then used on every send.

Day to day for your admissions team

Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.

1. Send the patient to Valant

When a patient is ready, choose one of:

  • Open the Intake Opportunity, click ⋯ (More), and choose Send Patient to Valant.

  • Or let it happen automatically: your administrator can have Dazos send each new Intake Opportunity whose Treatment Program is matched to a Valant facility.

The patient needs a first name, last name and date of birth. Before creating anyone, Dazos looks in Valant for a patient with the same name and date of birth. If it finds exactly one, it updates that patient instead of creating a new one.

When it works, Dazos shows a message such as "Patient created in Valant. Patient UID: … (3 related record(s) sent)". The Valant Patient ID is filled in as the MR Number on the Intake Opportunity, and a Linked EMR Record box shows the patient's details.

Already in Valant? In the Linked EMR Record box, click Link EMR Record, choose your Valant account, and search by Enter Patient Id, or by Enter DOB, Enter Given name and Enter Family name together. Click Link next to the right patient. Patients already linked show View or View Contact instead.

2. Insurance, contacts and paperwork follow automatically

Right after the patient is created, Dazos sends:

  • Insurance: each active policy on the patient's Account, in priority order as Insurance 1, 2 and 3. Each policy needs its Health Plan ID and an insurance company matched to Valant.

  • Family and emergency contacts: each related contact on the patient's Account.

  • Documents: if your EMR settings allow sending PDF files, the latest pre-admission assessment of each type, your chosen VOBs, and documents attached to the Intake Opportunity or Account. Each document goes into the Valant document type matched to its folder.

The message tells you how many of these went through and how many didn't.

3. Keep details current

When a name, phone number or address changes in Dazos, open the Linked EMR Record box, click Action, and choose Push Update to Valant. This sends the patient's details only.

Valant replaces the whole patient record on an update, so it needs three things on file: the patient's gender, a Treatment Program matched to a Valant facility, and an Intake Opportunity owner matched to a Valant provider. If one is missing, Dazos tells you which. Updates aren't sent automatically when you save; they go only when someone clicks Push Update to Valant.

What comes back from Valant

Every hour, Dazos refreshes the details of every patient linked to Valant. Nobody on your team needs to do anything. Here is exactly what changes, and when.

Step 1: Finding the patient

Valant lets Dazos look patients up only by name and date of birth, so Dazos:

  1. Searches Valant using the first name, last name and date of birth on the patient's Account (or the Intake Opportunity if the Account is missing them)

  2. Picks the result that carries the Valant patient ID saved when the patient was sent or linked

  3. If none of the results carries that ID, uses the first result Valant returns

If the name or date of birth is missing in Dazos, that patient is skipped until it's filled in.

Step 2: Updating the Account

Changes are written to the patient's Account record:

What updates in Dazos

What it shows

Always or optional

First and last name

Name corrections made in Valant

Always

Date of birth

The date of birth in Valant

Always

Phone, mobile phone and email

Contact details from Valant

Always

Gender, mailing address and other patient fields

Whatever your field mapping links to Account fields

Optional, set by your field mapping

Dazos only writes values that are filled in on Valant and different from what's in Dazos. Blank values in Valant never erase your data.

What doesn't come back. Valant doesn't give Dazos a feed of admissions, discharges or program changes, so Sales Stage, admission and discharge dates and Level of Care on the Intake Opportunity aren't changed by Valant. Patients created directly in Valant aren't added to Dazos; link them with Link EMR Record when needed.

Seeing what changed. Every change Valant makes is listed on the Account's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the Valant patient UID, MR Number, level of care, location and the last sync time.

Need it right now? Click Pull Updates from EMR in the Linked EMR Record box on the Intake Opportunity, or Pull Patient Updates from EMR on the Account, to refresh that patient immediately instead of waiting for the hourly update.

Getting started: what we need from you

Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.

  • Your Valant Client ID and API Key

  • Your Valant Client ID (Database), only if your Valant login covers more than one database (in Valant, find it under Session Information)

  • Which Treatment Programs go to which Valant facility, and to which Valant account if you have more than one

  • How your Levels of Care match Valant's healthcare service programs

  • How your insurance payers match Valant's insurance companies

  • Which document folders, such as PAA and VOB, go into which Valant document types

  • Which Dazos users match which Valant providers

  • Which PDFs to send: pre-admission assessments, VOBs, other documents, or none

  • Which staff roles may send data to Valant

  • Whether new Intake Opportunities should be sent to Valant automatically

During setup, your administrator opens the Valant tab in EMR Settings, enters these details, clicks Save, then Test FHIR Connection. Saving fills in a standard set of field matches for patients, insurance and related contacts, which you can review under Field Mappings. Related-contact fields start unmatched, so map them before go-live. Under Reference data & Mappings, Sync from Valant brings in Facilities, Document Types, Healthcare Service Programs, Insurance Companies (Payers) and Providers so each can be matched.

Valant currently uses the same system for both the Sandbox and Production settings, so there's no separate test copy of your data. We recommend starting with a test patient.

Common questions

How fast do Valant changes show up in Dazos?

Within the hour. For one patient right away, use Pull Updates from EMR.

Do admissions and discharges come back from Valant?

No. Only patient demographics come back. Keep stages, admission and discharge dates up to date in Dazos.

Should I click Send Patient to Valant again after a change?

Use Push Update to Valant instead. Sending again also re-sends insurance, contacts and documents, which Valant adds as new entries rather than updating the old ones. Dazos asks you to confirm before resending.

Push Update to Valant failed. Why?

Valant needs the patient's gender, a Treatment Program matched to a Valant facility and an owner matched to a Valant provider. The message names what's missing.

Insurance didn't show up in Valant. Why?

Each policy needs a Health Plan ID, and its insurance company has to be matched to Valant's list once. Ask your administrator or Dazos Technical Services to map it.

A document wasn't sent. Why?

Its folder isn't matched to a Valant document type yet, or sending PDF files is turned off in your EMR settings.

Can we have several Valant accounts?

Yes. Each account is connected separately. Patients go to the account matched to their Treatment Program, or to the first connected account if there's no match.

Where can my administrator see what was sent?

The Sync Status button on the Valant tab lists recent sends and updates, with the time, whether each one worked and any error message.

I can't send to Valant.

Your role may not have the Push to EMR permission. Dazos shows "You do not have permission to push data to the EMR. Please contact your administrator." and the Linked EMR Record buttons are greyed out. Ask your administrator.
