Netsmart myAvatar EMR Integration: Customer Overview (CRM)

How the Dazos CRM and Netsmart myAvatar integration works, what your admissions team does day to day, what comes back from myAvatar, and what we need from you to get started.

What the integration does for you

Dazos connects your admissions work in the CRM to your clinical record in Netsmart myAvatar, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in myAvatar; the two stay in sync on their own.

Dazos sends to myAvatar

myAvatar sends back to Dazos

A new client record, with name, date of birth, demographics, contact details and address

Who has been admitted, and when

The admission to the right program, with the assigned staff member

Discharges and discharge dates

Active insurance policies

The patient's MR Number

Pre-admission assessment, VOB and other paperwork as documents

Level of care and treatment program at admission

Pre-admission assessment answers filled straight into your myAvatar forms

Appointments from the myAvatar schedule

Appointments booked in Dazos

"Do Not Readmit" alerts and insurance details (optional)

The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.

What's new this release

Appointments in both directions. Appointments in a patient's myAvatar schedule now appear in Dazos, from two weeks back to six months ahead. Appointments your team books in Dazos go onto the myAvatar calendar for the right staff member.

More of your data can fill myAvatar forms. Your administrator can now add custom Dazos modules as sources for myAvatar form mapping, so answers stored outside the pre-admission assessment can go into your forms too.

Also improved: a safe test mode before go-live, skipping inactive insurance policies, control over who can send data to myAvatar, and full activity logs.

Day to day for your admissions team

Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.

1. Send the patient to myAvatar. When a patient is ready, choose one of:

  • Open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Netsmart.

  • Or let it happen automatically: your administrator can set up an automation that sends patients when they reach a stage you choose, such as Pending Admit.

Before sending, make sure the Treatment Program and Admitting to LOC are filled in. Together they tell Dazos which myAvatar program to admit the patient to. Dazos also checks that myAvatar's required details, such as gender, race and ethnicity, are filled in. If anything is missing, Dazos lists it so you can fix it and send again.

Dazos creates the client record and the admission in one step. If the patient's Account is already linked to a myAvatar client from an earlier stay, Dazos updates that client and opens a new admission instead of creating a duplicate. Dazos also asks you to confirm before sending the same patient twice.

After the send, the Intake Opportunity shows a Linked EMR Record box with the myAvatar Patient Id, Encounter Id, MR Number, level of care, location and the last sync time.

2. Paperwork follows automatically. When the admission is created, the latest pre-admission assessment, VOBs and the Intake Opportunity's and Account's documents go to the patient's myAvatar record as PDFs. Each Dazos document folder is matched to a myAvatar document type. You can resend one any time: use Send to EMR as Document on the assessment or VOB, or Send Document to EMR on a document.

3. Send assessment answers into myAvatar forms. If your account uses form sending, Dazos fills your mapped myAvatar forms as soon as the admission is created. To send or resend later, open the Pre-Assessment, click ⋯ (More), choose Send to Netsmart Form, tick the forms, and click Send To Netsmart. Dazos shows the result for each form right away.

Forms already sent for that assessment start unticked. Dazos skips any form it has already sent, so you won't get duplicates. Your financial eligibility form is the exception: it is updated in place. Your administrator can also have forms sent automatically whenever a Pre-Assessment is saved.

4. Keep details current. When your administrator turns on update automation, saving a change to the patient in Dazos (such as a new phone number or address) updates myAvatar too. No re-sending needed.

5. Admissions and discharges by hand. If the myAvatar admission didn't go through, click Create Client Admission in the Linked EMR Record box. To discharge from Dazos, enter the Discharge Date on the Intake Opportunity and click Create Client Discharge.

6. Book appointments. Create an Appointment on the Intake Opportunity, set Appointment With to a staff member mapped to myAvatar, and save. It goes to the myAvatar calendar on the first save. After later edits, open the appointment, click ⋯ (More) and choose Send to Netsmart to update myAvatar. Deleting an appointment in Dazos doesn't remove it from myAvatar.

What comes back from myAvatar

Every hour, Dazos checks myAvatar for each patient who is linked and still in treatment, and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.

Step 1: Linking the patient. Patients you send from Dazos are linked the moment their myAvatar record is created. For a patient who already exists in myAvatar, link them in one of two ways:

  • On the Intake Opportunity, click Link EMR Record. Search myAvatar by Patient Id, date of birth, first name or last name, then click Link next to the right patient.

  • From the Intake Opportunities list, click Sync Patients from EMR to CRM, search myAvatar and click Pull. Dazos links the patient to an existing record when all of these match:

    1. First and last name (capitalization doesn't matter)

    2. Date of birth

    3. Admission date, exact or within 2 days, when the patient has a myAvatar admission

Once linked, the myAvatar MR Number is filled in on the Intake Opportunity.

Step 2: Ongoing updates. For every linked patient still in treatment, Dazos updates:

Patients admitted only in myAvatar. If a patient was admitted directly in myAvatar and has no Dazos record, Sync Patients from EMR to CRM can create the Account and an Intake Opportunity for them, so admissions and census reports stay complete. This is optional. If the client is already linked to a Dazos Account and has a "Do Not Readmit" alert in myAvatar, Dazos ticks Do NOT Re-Admit on that Account instead.

Appointments. Every hour, Dazos also brings in appointments for linked patients, from 14 days ago to 6 months ahead, with the type, status, staff member and times. Appointments already in Dazos are updated, not duplicated.

After discharge. Once myAvatar shows the patient discharged, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in myAvatar. If you need updates again, click Unlock EMR Updates.

Your Implementation Specialist will confirm which optional updates to turn on during setup.

Seeing what changed. Every change myAvatar makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box shows the last sync time.

Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update. Click Pull Appointments from EMR to refresh their appointments.

Getting started: what we need from you

Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.

  • myAvatar API credentials (Client Id and Client Secret) and a Location Alias for each myAvatar connection

  • Your myAvatar System Code, web-service Username and Password, and System User Id (for forms, documents and "Do Not Readmit" alerts)

  • Your Avatar PM Base URL, if you want appointments synced

  • Your myAvatar program names and codes, and which Dazos Treatment Program and level of care each one matches

  • Your myAvatar discharge types, spelled exactly as in myAvatar

  • Which myAvatar document type each Dazos document folder should file into

  • The myAvatar forms you want filled from Dazos

  • Your myAvatar staff list, so each staff member can be matched to their Dazos user

  • Your myAvatar appointment statuses, if you want appointments synced

  • Which staff roles may send data to myAvatar

  • Whether patients admitted directly in myAvatar should be added to Dazos

We recommend testing in myAvatar's sandbox first, then switching to live patients at go-live.

Common questions

How fast do myAvatar changes show up in Dazos? Within the hour. For one patient right away, use Pull Updates from EMR.

Why couldn't I create the patient in myAvatar? The message tells you what's missing. Most often it's the Treatment Program or Admitting to LOC, a combination that hasn't been matched to a myAvatar program yet, or a required detail like gender, race or ethnicity. Fill it in and send again.

Does Admit Patient send the patient to myAvatar? No. Admit Patient records the admission in Dazos. To create the myAvatar record, use Create Patient in Netsmart or your administrator's automation.

A form wasn't sent. What now? The patient needs an open myAvatar admission first. Click Pull Updates from EMR, make sure the admission exists, then send again.

Can we have several myAvatar connections? Yes. Each one is connected separately, and patients go to the right one based on their Treatment Program and level of care.

Are emergency or related contacts sent? They aren't added to the myAvatar client record. Related contacts can be included in a myAvatar form if your form has a place for them.

Can we test without touching real patients? Yes, using myAvatar's sandbox before go-live.

An appointment didn't reach myAvatar. Why? myAvatar needs to know which staff member it's with. Set Appointment With to a user who is matched to myAvatar staff, then use Send to Netsmart.

I can't use the myAvatar send options. Your role may not have the Push to EMR permission. Ask your administrator.
