What the integration does for you
Dazos connects your admissions work in the CRM to your patient records in eClinicalWorks, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in eClinicalWorks; the two stay in sync on their own.
Dazos sends to eClinicalWorks | eClinicalWorks sends back to Dazos |
A new patient record, with name, date of birth, gender, phone numbers, email and address | Admission, once the patient's visit starts in eClinicalWorks |
Demographics such as marital status, language, race, ethnicity and birth sex | Admission and discharge dates |
The patient's home facility, based on their Treatment Program, and their primary practitioner | Discharges and discharge type |
An emergency contact | Level of care and Treatment Program on admission |
Insurance policies, in priority order | The patient's MR Number |
Pre-admission assessment, VOB, documents, insurance card and ID images, filed into your folders | Emergency contacts, plus name, date of birth and demographic corrections (optional) |
The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.
What's new this release
Insurance goes over as real coverage. Insurance policies now appear on the patient's eClinicalWorks record. Each policy in Dazos has its own Send to EMR, Update in EMR and Delete in EMR links, so the two systems stay matched.
Paperwork lands in the right folder. Pre-admission assessments, VOBs and documents now file into the eClinicalWorks folder you choose. Before anything goes, Dazos tells you which folder it will go to and who it will be filed under.
Insurance card and ID images. Photos of insurance cards and government IDs now go to eClinicalWorks as card images, not loose attachments.
No more duplicate patients. Dazos can check eClinicalWorks for an existing patient before creating a new one. If it finds one, you can link to it instead.
Pull visits from the patient record. From the patient's Account, you can list the patient's eClinicalWorks visits and turn any of them into an Intake Opportunity with one click.
Also improved this year: demographics such as race, ethnicity and language arrive in eClinicalWorks in the format it expects, you choose which permissions each connection uses, you control who can send data to eClinicalWorks, and every send is logged.
Day to day for your admissions team
Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.
1. Send the patient to eClinicalWorks
When a patient is ready, choose one of:
Open the Intake Opportunity, click ⋯ (More), and choose Create Patient in eClinicalWorks.
Or let it happen automatically: your administrator can send patients when they reach a stage you choose.
The patient's Treatment Program must be filled in and matched to an eClinicalWorks location. If any field your eClinicalWorks setup requires is empty, Dazos lists the missing fields and sends nothing. Dazos also asks you to confirm before sending a patient who has already been sent.
If the duplicate check is turned on, Dazos first looks in eClinicalWorks for patients with the same first name and date of birth. If it finds any, it shows them with their visits. You can Link this Intake Opportunity to one of them, search again, or click Create Duplicate Anyway.
After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's eClinicalWorks details.
2. Insurance and paperwork follow automatically
When the patient is created, Dazos sends:
Every active insurance policy, in priority order (Primary, Secondary, Tertiary)
The latest pre-admission assessment of each type
The latest Instant VOB and Full VOB
PDF documents linked to the Intake Opportunity or Account
Insurance card and ID images, when they are in a folder matched for them
Your administrator chooses which of these go automatically. A policy goes over only if its insurance company has been matched to an eClinicalWorks payer. A document goes over only if its folder has been matched to an eClinicalWorks folder. Dazos tells you about anything it skipped, and why.
3. Send more paperwork any time
Open the pre-admission assessment, VOB or document. Click ⋯ (More), then Send PAA To eClinicalWorks, Send VOB To eClinicalWorks or Send Document to EMR. Before sending, Dazos tells you which folder it will go to. If the record's owner isn't matched to an eClinicalWorks practitioner, Dazos warns you. In that case the document goes to eClinicalWorks's App Data review area instead of straight into Patient Documents.
4. Keep insurance current
In the Insurance Policies list, click Send to EMR for a new policy or Update in EMR for one already sent. Delete in EMR removes a policy's coverage from eClinicalWorks. Your administrator can also have eClinicalWorks coverage deleted automatically when a policy is deleted in Dazos.
5. Keep details current
Update a phone number, address or other patient detail in Dazos, save the Intake Opportunity, and eClinicalWorks is updated. No re-sending needed. You can also click Push Update EMR Record in the Linked EMR Record box to send the latest details right away.
What comes back from eClinicalWorks
Every hour, Dazos checks eClinicalWorks for each linked patient who is still in treatment and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.
Step 1: Matching the patient
Patients are linked through Dazos itself: when you create them from Dazos, link them from the duplicate check, or use Link EMR Record. To find a patient with Link EMR Record, search by one of these:
Patient ID alone
Name, with date of birth if you have it
Last name and date of birth
eClinicalWorks doesn't let other systems create visits, so your team schedules the visit in eClinicalWorks as usual. The first time a linked patient has a visit, Dazos ties the Intake Opportunity to the most recent visit, by start date. From then on it stays with that visit, so a later readmission won't overwrite it.
Step 2: Ongoing updates
For every linked patient still in treatment, Dazos updates:
What updates in Dazos | What it shows | Always or optional |
Admitted Status | In Treatment once the visit has started; Discharged: Completed once it has ended | Always |
Sales Stage | Moves to Admitted when the visit has started. This starts your admission workflows and the Treatment Episode. | Always |
Admission Date and Discharge Date | The visit's start and end dates from eClinicalWorks | Always |
Discharge Type | eClinicalWorks's discharge disposition translated to your Discharge Type | Always |
MR Number | The eClinicalWorks patient account number | Always |
Level of Care and Treatment Program | Set on admission, from the eClinicalWorks program on the visit | Always, when the program is matched during setup |
Level-of-care history and current level of care | Changes to the level of care over the stay | Optional |
Emergency contacts | Contacts from the eClinicalWorks patient record, added to or updated on the Contact | Always |
Name, date of birth and demographics | Corrections made in eClinicalWorks | Optional |
After discharge. Once eClinicalWorks shows the visit ended, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in eClinicalWorks. If you need to, click Unlock EMR Updates to start updates again.
Your Implementation Specialist will confirm which optional updates to turn on during setup.
Seeing what changed. Every change eClinicalWorks makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the eClinicalWorks Patient Id, Encounter Id, MR Number, level of care, location and the last sync time.
Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update. On the Account, Pull Patient Updates from EMR refreshes the patient's name, date of birth and demographics, if you have turned those updates on. Pull Encounters lists every eClinicalWorks visit for the patient. Click Pull on a visit and Dazos links it to an existing unlinked Intake Opportunity with the same admission date (within a day). If there isn't one, Dazos creates a new Intake Opportunity.
Getting started: what we need from you
Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.
Your eClinicalWorks app Client Id, your practice identifier, and a Location Alias for each connection
The permissions you approve for the Dazos app in eClinicalWorks. The standard set lets Dazos look up, create and update patients, and read visits, medication orders, locations, practitioners and insurance. To send insurance and documents, also approve adding, updating and removing insurance coverage, adding documents, and reading your payer list.

Common questions
How fast do eClinicalWorks changes show up in Dazos? Within the hour. For one patient right away, use Pull Updates from EMR.
Why hasn't my patient shown as admitted? Dazos marks a patient admitted once their visit has started in eClinicalWorks. Check that the visit is scheduled there. The next hourly check picks it up.
Why didn't the patient go to eClinicalWorks? The message tells you why. Usually the Treatment Program is empty or not matched to a location, or a required field is empty. Fix it and send again.
Insurance didn't show up in eClinicalWorks. Why? Each insurance company needs to be matched to an eClinicalWorks payer once. Ask your administrator or Dazos Technical Services to map it, then click Send to EMR on the policy.
A document went to App Data instead of Patient Documents. Why? The person assigned to the record or to the Intake Opportunity isn't matched to an eClinicalWorks practitioner. Ask your administrator to match them.
Can we have several eClinicalWorks locations? Yes. Each Treatment Program is matched to an eClinicalWorks location, which becomes the patient's home facility. If you have more than one eClinicalWorks connection, the Treatment Program also decides which one the patient goes to.
Are emergency or related contacts sent? One contact is sent with the patient, with the emergency contact first. It needs a phone number or email to go over.
Can we test without touching real patients? Yes. New connections start in eClinicalWorks's sandbox, and you switch to production at go-live.
I can't use the eClinicalWorks send options. Your role may not have permission to send data to eClinicalWorks. Ask your administrator.
