Overview
If you have disabled a module for a role — for example, turning off UR Auth, Daily Census, Campaigns, Treatment Plan, Bed Board, or LOC HX for the Admissions Rep role — you may notice that the corresponding ribbon tabs at the top of an Intake Opportunity record are still visible to users in that role. This article explains why that happens, what users in restricted roles will and will not be able to see, and what the current behavior is after a recent engineering update.
Key Concepts
Role Permissions: Settings in Settings → CRM Settings → User Management → Roles that control which modules a user role can access.
Sidebar Navigation: The left-hand menu in Dazos CRM. Disabling a module for a role removes it from this menu for users in that role.
Intake Opportunity Ribbon Tabs: The row of tabs that appears across the top of an Intake Opportunity record. These tabs are controlled separately from the sidebar and are not automatically hidden when a module is disabled for a role.
Restricted Role: A user role for which one or more modules have been disabled in role settings (e.g., Admissions Rep).
How It Works
Sidebar navigation behaves as expected: disabling a module for a role removes it from the left-hand sidebar for all users in that role. They will not see or be able to navigate to the module from the menu.
Intake Opportunity ribbon tabs work differently. Disabling a module in role settings does not automatically hide its corresponding ribbon tab inside the Intake Opportunity view. After a recent engineering update, the behavior for restricted roles is as follows:
Ribbon tabs for disabled modules remain visible to users in the restricted role.
When a user in a restricted role clicks one of those tabs, the tab will not load or display any data. The tab appears in the ribbon, but the content inside it is empty.
The table below summarizes what a user in a restricted role will see in each location:
Location | Behavior for a Disabled Module |
Sidebar navigation | Module is fully hidden — users cannot see or access it from the left-hand menu. |
Intake Opportunity ribbon tab | Tab remains visible in the ribbon, but opens with no data for users in the restricted role. |
Important Notes
This is the current intended behavior. Restricted users will see the ribbon tab label but will not be able to view any records or information within it. The tab is visually present but functionally empty for their role.
Administrators are not affected. Admin users always see all modules and ribbon tabs regardless of role settings.
Commonly affected modules include: UR Auth, Daily Census, Campaigns, Treatment Plan, Bed Board, and LOC HX. However, this behavior applies to any module that can appear as a ribbon tab in the Intake Opportunity view.
Full ribbon tab hiding is a known gap. Completely hiding ribbon tabs from the Intake Opportunity ribbon based on role permissions has been logged as a feature request with the Dazos product team. If this capability is important to your organization, contact Dazos Support to register your interest and help prioritize the request.
If a user was already logged in when you changed their role settings, they may need to log out and back in before updated permissions take effect.
If data confidentiality is a concern, be aware that while restricted users cannot view any data inside a disabled-module tab, the tab label itself remains visible in the ribbon. We recommend communicating this limitation to your team as needed.
