Role Permissions & Intake Opportunity Tabs
When you turn a module off for a role, that role's users no longer see it in the left-hand menu. Now that same setting also controls the matching tab inside an Intake Opportunity — the row of tabs along the top of the record. Previously a tab could stay visible there even after the module was switched off for the role, which let staff open a module you intended to restrict. With this update, the menu and the Intake Opportunity tabs stay in sync: switch a module off for a role and it disappears from both places.

1. What Changed
Role-based module restrictions now apply to the Intake Opportunity tab ribbon, not just the sidebar menu. If a role is not allowed to use a module, users in that role will no longer find a way into it through the tabs at the top of an Intake Opportunity.
The modules most commonly restricted this way include UR Auth, Daily Census, Campaigns, Treatment Plan, and Bed Board, but the behavior applies to every module that can appear as a tab.
In short: one setting now controls access in every place — there is no longer a "side door" into a restricted module through the Intake Opportunity tabs.
2. Before You Start
You will need:
An administrator account that can edit roles.
To know which role you want to change (for example, Admissions Rep) and which modules that role should not access.
Good to know: No new setting or permission is introduced. You manage this exactly the way you already manage what a role can see — by turning modules on or off for the role. The tabs simply follow that choice now.
3. Restricting a Module for a Role
Go to Settings → CRM Settings → User Management → Roles.
Select the role you want to change (e.g. Admissions Rep) and click Edit.
Find the module you want to restrict and turn it off (uncheck it).
Click Save.
Repeat for any other modules that role should not access — for example Daily Census, Campaigns, Treatment Plan, or Bed Board.
Tip: You don't need to change anything inside the Intake Opportunity itself. The tabs there update automatically from the role setting.
4. What That Role Will See
After you save, a user signed in with that role will find:

The change is per role — a different role that still has the module enabled keeps its tab. ● Only the restricted module's tab is affected. All other tabs on the Intake Opportunity (such as the main record details) stay exactly as they were.
Note: If a user is already signed in when you change their role, they may need to log out and back in to see the update.
5. Turning a Module Back On
To restore access, edit the role again and turn the module back on, then Save. The module returns to both the left-hand menu and the Intake Opportunity tabs for that role.
6. Frequently Asked Questions
Q: Do I have to edit each Intake Opportunity to hide a tab?
No. You only change the role once. Every Intake Opportunity respects that setting automatically. Q: A user still sees a tab I just turned off — why?
They were probably already signed in when the role changed. Ask them to log out and back in. Also confirm you edited the correct role and saved.
Q: Will this affect administrators?
No. Administrators always see all tabs.
Q: Does this change which records or data a user can open elsewhere?
It only governs whether the module's tab appears on the Intake Opportunity. It uses the same module on/off setting you already control for the sidebar — it does not add any new kind of restriction.
Q: Does this apply to all of our CRM instances?
Yes. The behavior is consistent across instances.
