How Do I Use the Calendar Feature in Dazos CRM?

This article provides a deeper dive into how to use the Calendar functionality in Dazos CRM to manage tasks, events, and scheduling more effectively.

To access the Calendar in your Dazos CRM, click on the Calendar icon

in the CRM Toolbar.

From here, you’ll have access to three viewing options by clicking the pop-out icon '

My Calendar View

At a glance, from the My Calendar page, your default view will by your calendar of Tasks and Events for the day.

Adding Tasks to your Calendar & How to Create a New Task from Calendars

Click on the “+ Add Task” button in the upper right of your calendar to begin creating a new task.

Required fields include:

  1. Subject: A brief description of the open action item

  2. Assigned To: This will be yourself by default but you can reassign the Tasks (or action items) to others

  3. Start Date & Time: Will represent when the task is created but can also be updated to represent when the activity should begin

  4. Due Date: Will represent when this action item should be completed by

  5. Status: You will likely be setting future tasks or to-do items as “Not Started”. Always be sure to update tasks to “Completed” to close them out

  6. Save your Task

Adding Events to your Calendar & How to Create a New Event from Calendars

Click on the “+ Add Event” button in the upper right of your calendar to begin creating a new task.

Required fields include:

  1. Subject: A brief description of the event scheduled to take place

  2. Assigned To: This will be yourself by default but you can reassign the Events to others

  3. Start Date & Time: Will represent when the task is created but can also be updated to represent when the event should begin

  4. End Date: Will represent when the event is ending (A meeting for example might have an end date ~1 hour later than the Start Date)

  5. Status: You will likely be setting future tasks or to-do items as “Planned”. Always be sure to update tasks to “Held” to close them out

  6. Activity Type: This should represent the type of meeting you’ll be hosting (Zoom call, tour, etc)

  7. Save your Event

When should you use a Task vs an Event?

Tasks are best used to represent action items, reminders, or follow ups. Events are best used to represent a scheduled meeting taking place. Some quick examples with recommended Types:

  • A tour of your facility would be an Event

  • A reminder to follow up after their Discharge would be a Task

  • A scheduled PA over Zoom or Phone would be an Event

  • A follow up email on open questions would be a Task

Shared Calendar View

The Shared Calendar view allows users to add other users' calendars to their own view.

For instance, if you want to include a co-worker’s calendar, use the "Add Calendar" button. Choose your desired co-workers, select a color for display, and submit your preferences.

Editing or deleting shared calendars is conveniently done using the pencil or trash icon, respectively.

Calendar List View

In the Calendar List View, all events and tasks created by CRM users are visible. If a call manager is integrated, inbound and outbound calls are also displayed.

The table can be organized by headers, offering flexibility. Users can search, add, and remove different headers to tailor the view according to their preferences.
