How to Push VOB Documents to the Kipu EMR's Financial Folder (CRM)

By default, the CRM utilizes a Folder-to-Tab mapping system for document transfers. This guide explains how to create the necessary folder structure in your Documents module and map it to Kipu to ensure seamless data flow for financial records.

Before You Begin

  • Admin Access: You must have administrative permissions to modify Document folders and EMR Integration settings.

  • Kipu Integration: Ensure your Kipu EMR integration is active and authenticated.

  • Document Readiness: Have your VOB PDFs uploaded to the CRM or ready for upload.


Steps

  1. Navigate to the Documents Module: Log in to your Dazos CRM instance and select the Documents module from the left-hand navigation bar.

  2. Create the "VOB" Folder: If "VOB" does not appear as a tag or folder option, you must create it. Click the + New Folder button and name it exactly "VOB".

    • Note: The mapping system only recognizes actual folders within the Documents module; it cannot map to a field or a generic tag that isn't backed by a folder structure.

  3. Navigate to EMR Settings: Go to Settings > CRM Settings > Integration > EMR Settings (Kipu).

  4. Configure Folder Mapping: Locate the section for Document/Folder Mapping. Find the newly created "VOB" folder in the CRM column and select the corresponding "Financial" tab from the Kipu destination dropdown menu.

  5. Organize Your Documents: Return to the patient's record or the Documents module. Move the relevant VOB PDF files into the VOB folder. The system will now "tag" these files for the Financial section based on their location in this folder.

  6. Push the Patient to Kipu: Navigate to the Lead or Account and perform the Push to EMR action. Because the folder is now correctly mapped, the CRM will identify the files in the VOB folder and deliver them to the Financial tab in Kipu.


Verification / Expected Result

Once the push is complete, log in to your Kipu EMR instance and open the patient's chart. Navigate to the Financial section/tab; the VOB PDF should be visible and accessible there.

Troubleshooting / Common Errors

  • Folder Not Visible in Mapping: If you just created the VOB folder and it doesn't appear in the EMR settings dropdown, try refreshing your browser or logging out and back in to clear the cache.

  • Document Landed in "Other": This happens if the document was not placed inside the specific mapped folder (VOB) before the push occurred. Ensure the file is inside the folder, not just attached to the record generally.

  • Mismatched Tab Names: Kipu instances can have customized tab names. Ensure you are mapping to the specific tab name used in your facility's Kipu layout (e.g., "Financial" vs. "Billing").
