Why This Happens
Duplicate face charts are created when the system cannot properly identify existing patient records in Sunwave. This typically occurs when:
Old intake opportunities are linked to Sunwave records before new opportunities are pushed
Legacy IDs are not properly mapped between Dazos and Sunwave
The integration cannot recognize the existing EMR ID assigned to the original patient face sheet
Resolution Process
To resolve duplicate face chart issues, the following steps must be completed:
Generate Legacy IDs: Create proper Legacy ID mappings for all patient records that need to be synchronized between systems
Update Sunwave system: Import the generated Legacy IDs into the Sunwave EMR system
Import into Dazos: Once Sunwave confirms the Legacy IDs are updated, import the corresponding ID mappings into Dazos
Verify integration: Test the integration to ensure new intake opportunities are properly linked to existing patient charts
Prevention Best Practices
To prevent duplicate face charts from occurring:
Ensure all Legacy IDs are properly mapped before linking old intake opportunities
Verify that existing patients have correct ID mappings in both systems before creating new intake opportunities
Contact Dazos support if you need assistance with Legacy ID imports or mapping
What to Expect After Resolution
Once Legacy IDs are properly mapped:
New intake opportunities will be created within existing patient charts rather than generating duplicates
The "Linked EMR Record" section in Dazos will properly display EMR information
Historical patients will be correctly linked to prevent future duplicates
