How to Prevent Duplicate Patients in BestNotes EMR Integration (CRM)

Overview The BestNotes EMR integration handles patient records differently than KIPU, particularly for readmissions. BestNotes does not have automatic readmission handling, which can result in duplicate patient records if not managed properly.

How BestNotes Integration Behaves

When "Automatically send patient to EMR" is enabled in EMR Global Settings:

  • Every new intake opportunity creates a new record in BestNotes when pushed over

  • There is no automatic "readmit" option like in KIPU integration

  • Readmissions require manual linking to prevent duplicates


How to Handle Readmissions in BestNotes

For patients being readmitted to your facility:

  1. Create a new chart under the existing patient file in BestNotes

  2. Manually link the new intake opportunity in Dazos to the existing patient record in BestNotes

  3. Do not rely on automatic sync for readmissions
