How to Resolve Reports Disappearing When Shared with Team Members (CRM)

Reports disappear from your report list after sharing them with team members or editing them.

Symptom/Error

  • Reports you previously created or accessed no longer appear in your Reports list

  • Reports that were working fine suddenly become inaccessible

  • Team members cannot see reports that were shared with them

  • Reports are missing from dashboard widgets even though they exist in the system

Cause

When reports disappear after sharing or editing, it's typically because your user profile isn't included in the report's Visibility settings. Reports in Dazos have specific user visibility controls, and if your user profile isn't added to a report's visibility list, you won't see it in your report list or dashboards.

Solution

An administrator needs to edit the report settings and add your user to the Visibility section. Follow these steps:

For Administrators:

  1. Navigate to the Reports module in Dazos CRM

  2. Locate the missing report (it may still exist in the system, but not be visible to the affected user)

  3. Open the report settings or edit the report

  4. Find the Visibility or User Access section

  5. Add the affected user(s) to the report's visibility list

  6. Save the changes

  7. Pin the report for the user if needed for easier access

For Users:

  1. Contact your Dazos administrator and explain that specific reports have disappeared

  2. Provide the names of the missing reports (e.g., "Pending Admits by Rep", "Pending Admits by Facility")

  3. Ask them to check the Visibility settings for those reports

  4. Once the administrator adds you to the visibility list, refresh your browser page

  5. Check your Reports list; the missing reports should now appear

Verification / Expected Result

After the administrator adds you to the report's visibility settings, you should see:

  • ✅ Missing reports appear back in your Reports list

  • ✅ Reports are accessible and display data correctly

  • ✅ Reports appear on relevant dashboards if they were previously configured there

  • ✅ All shared team members can access the reports as intended

💡 Prevention Tips

  • When sharing reports, always include yourself in the Visibility settings to maintain access

  • Document which users need access to specific reports before making changes

  • Test report visibility after sharing to ensure all intended users can access it

When to Contact Support

Contact Dazos Support if:

  • Reports are still missing after the administrator has confirmed visibility settings are correct

  • You continue to experience reports disappearing frequently

  • Multiple reports across different modules are affected

  • The visibility settings appear correct but users still cannot access reports
