How KIPU Handles Multiple PAA Documents: Only Most Recent Document Automatically Sent (CRM)

How KIPU Integration Handles Multiple PAA Types

When multiple Pre-Assessment (PAA) documents are completed for the same patient, the KIPU integration automatically sends only the most recent PAA document. This is the expected system behavior and applies to all PAA types including clinical prescreens, housing prescreens, and other assessment forms.

Why Only the Latest PAA Sends Automatically

The KIPU integration is configured to automatically queue the last Pre-Assessment that was completed or updated. When both clinical and housing prescreens are completed for the same patient:

  • If the housing prescreen was completed after the clinical prescreen, only the housing prescreen will be sent automatically

  • If the clinical prescreen was completed after the housing prescreen, only the clinical prescreen will be sent automatically

  • The system prioritizes the most recent activity to avoid duplicate or conflicting data

How to Send Previous PAA Documents Manually

If you need to send a previous document (like a clinical prescreen when a housing prescreen was completed later), you can manually send it using these steps:

  1. Access the specific PAA record in the CRM

  2. Click the three dots (...) menu in the top right corner of the PAA record

  3. Select "Send PAA Pdf to Kipu"

  4. This triggers an immediate push of that specific document to the patient's chart

Send PAA PDF to KIPU option in three dots menu

Expected Results

After manually sending a previous PAA document:

  • The document will be immediately pushed to KIPU

  • Both documents (the automatically sent recent one and the manually sent previous one) will appear in the patient's KIPU chart

  • Each document maintains its original completion date and content

Prerequisites

Before you can manually send previous PAA documents:

  • The patient must be linked between Dazos CRM and KIPU EMR

  • The patient must be accepted in KIPU EMR

  • You must have proper user permissions to access PAA records

Important Notes

⚠️ System Behavior: This is the intended behavior of the KIPU integration, not a bug. The system is designed to prevent automatic sending of all documents to avoid overwhelming the EMR with multiple simultaneous pushes.

💡 Workflow Tip: If your facility regularly uses multiple PAA types for the same patient, plan your completion order or use the manual send feature as needed.
