How to Add a Digital Signature When Creating a New Record (CRM)

Learn how to capture digital signatures directly on the New Record screen. This one-step process lets you sign and save simultaneously, bypassing the need to create, save, and reopen records just to apply a signature.

1. Before You Start

You will need:

  • A module that your administrator has configured with a digital signature (for example, Consent Forms, Pre-Assessments, Opportunities, Transactions, VOBs, or Travel Itineraries).

  • Permission to create records in that module.

Access requirements: The signature area only appears for users (or roles) included in the signature's setup. If your administrator has restricted a signature to certain roles, users outside those roles will not see it. This is by design and is the exact same rule that already applied on the Edit screen.

⚠️ Note: If you do not see a signature area when creating a record, the module most likely has no digital signature configured for it, or your role is not included in its setup. Your administrator can review this under the module's Digital Signature settings, or you can contact Dazos support to enable it for your instance.

2. Open the New Record Screen

  1. From the CRM, open the module you want (for example, Consent Forms).

  2. Click Add (the button that creates a new record). The full create form opens.

  3. Fill in the record's details as you normally would.

  4. If the module has a digital signature configured, you will see a signature area at the bottom of the form, below the regular fields—this is the exact same area you are used to seeing on the Edit screen.

3. Sign While Filling Out the Form

In the signature area you will see a labelled box. To sign:

  1. Draw your signature inside the box using your mouse, trackpad, or finger (on a touch screen).

  2. If you make a mistake, click Clear and draw again.

Your signature is captured on the form and will be stored when you save the record in the next step. You do not need to save the record first.

4. Save the Record

Click Save. The record is created and your signature is stored against it at the same time—there is no extra step.

After saving, the record opens to its Detail screen, where the captured signature is shown along with who signed and the date and time.

5. Viewing the Signature Later

A signature captured during creation behaves exactly like one captured on the Edit or Detail screen:

The signature is included wherever the module's PDF (such as a consent form) shows it.

💡 Tip: For modules such as Consent Forms, signing during creation also completes the form in the usual way—for example, marking it as Completed and generating its PDF—exactly the same as when you sign on the Edit screen.

6. What Has Not Changed

This update only adds the ability to sign while creating. Everything else works exactly as before:

  • Signing on the Edit screen of an existing record is unchanged.

  • Signing directly from the Detail screen (the "sign now" pop-up) is unchanged.

  • Modules without a digital signature configured look and behave exactly as they did before—nothing new appears on their create forms.

7. Frequently Asked Questions

Q: I don't see a signature area when I create a record. Why?

The module probably has no digital signature configured, or your role isn't included in its signature setup. Ask your administrator to check the module's Digital Signature settings, or contact Dazos support.

Q: Do I have to sign before I can save a new record?

No. Signing is optional at creation time. You can save without signing and add the signature later from the Detail or Edit screen.

Q: Can I still sign after the record is created, like before?

Yes. The Detail and Edit signing options are unchanged. Creating-and-signing in one step is simply an additional, faster path.

Q: I drew a signature but it wasn't saved. What happened?

A signature has to be an actual drawn mark (or an applied PIN signature). An empty or near-empty box is intentionally ignored so blank signatures are never stored.

Q: Does this work in the Quick Create pop-up?

No. The signature area appears on the full New Record screen, not the small Quick Create pop-up. Open the full create form to sign.

Q: Will this change anything for modules that don't use signatures?

No. If a module has no digital signature set up, its create form is exactly the same as before.

8. Need Help?

  1. Open the record's Detail screen and confirm whether the signature was captured.

  2. Try signing again from the Edit screen to confirm the signature setup is working.

  3. Contact Dazos support with the module name and a description of what you were doing, and reference CRM-3189.
