Troubleshooting Sunwave EMR Integration LOC Mapping Errors (CRM)

Purpose of this Guide

This guide helps resolve errors when pushing patient opportunities to Sunwave EMR that are caused by missing or mismatched Level of Care (LOC) mapping between Dazos CRM and Sunwave EMR systems. When LOC mapping is incorrect, patient records fail to transfer automatically to the EMR system.


Symptom/Error

When attempting to push a patient opportunity to Sunwave EMR for a specific location, you receive error messages indicating the push has failed. The patient record fails to be created automatically in Sunwave despite being properly configured in the CRM system.


Cause

This error occurs when the Level of Care (LOC) field mapping between Dazos CRM and Sunwave EMR is missing or misconfigured. This prevents the automatic creation of patient records in the EMR system because Sunwave cannot interpret or match the LOC data being sent from the CRM.

Common causes include:

  • LOC exists in Dazos CRM but is missing from the Sunwave EMR system

  • LOC names don't match exactly between the two systems

  • New Level of Care options have been added to one system but not mapped to the other

  • Integration field mapping was not configured after adding new LOC values

Solution

Follow these steps to resolve LOC mapping errors:

Step 1: Verify LOC Exists in Both Systems

  • Confirm the Level of Care exists in both Dazos CRM and Sunwave EMR

  • Check that the LOC is available for the specific location experiencing the error

Step 2: Compare LOC Names

  • Ensure LOC names match exactly between both systems

  • Check for any differences in spelling, capitalization, or spacing

Step 3: Add Missing LOC to Sunwave

  • If the LOC is missing from Sunwave EMR, add it to the system first

  • Ensure it's configured for the correct location/facility

Step 4: Align LOC Names

  • If LOC names differ between systems, choose one of these options:

  • Add a matching name to Sunwave EMR to match the CRM name

  • Update the CRM name to match an existing Sunwave EMR LOC

Step 5: Complete Mapping Configuration

  • Once LOCs are aligned between systems, contact Dazos Support to complete the mapping configuration

  • Provide details about the LOC values that need to be mapped

Expected Result

Once the LOC mapping is correctly configured:

  • Future patient pushes will work automatically without LOC mapping errors

  • Patient records will be created successfully in Sunwave EMR

  • The integration will properly recognize all Level of Care options for the affected location

Escalation

Contact Dazos Support immediately if:

  • LOC mapping errors persist after verifying LOC exists in both systems

  • You need assistance adding or modifying LOC values in either system

  • Patient records continue to fail after LOC alignment

  • You've added new Level of Care options that require mapping configuration

When contacting support, provide:

  • The specific location experiencing the error

  • LOC names in both Dazos CRM and Sunwave EMR

  • Patient examples that failed to push

  • Screenshots of any error messages received

⚠️ Important: Always notify Dazos Support when adding new Level of Care options so the integration mapping can be updated accordingly.
