How to Set Up Criteria-Based Auto-Conversion of iConnect Leads to Accounts (CRM)

Overview

This guide explains how to configure the iConnect AI Agent to automatically convert new Leads into Accounts based on a set of conditions you define. Instead of manually reviewing and converting every Lead created by the AI Agent, administrators can build multi-field rules — using fields like Insurance, State, and Sales Stage — so that qualifying Leads are promoted to Accounts instantly, without any manual intervention.

This feature is available in the AI Agent Settings and uses a condition builder consistent with the existing workflow condition builder in Dazos CRM.

Before You Begin

  • You must have administrator access to CRM Settings to configure this feature.

  • Your iConnect AI Agent must already be set up and active for your instance.

  • The iConnect Type must be set to Leads. The Auto-Conversion Rules section is only visible in this mode.

  • This feature is off by default. Nothing changes until an administrator enables it and saves at least one rule.

Step 1 — Open AI Agent Settings

Click the Settings (gear) icon at the bottom of the left sidebar to open CRM Settings. In the settings list, expand the Integrations group and click AI Agent Settings. The Agent Configuration screen opens with the iConnect Agent tab selected.

Step 2 — Set the iConnect Type to Leads

In the Select iConnect Type field, choose Leads. This reveals the Auto-Conversion Rules section. If you select Account / Opportunity / VOB instead, the Auto-Conversion Rules section will be hidden because that mode does not create Leads.

Step 3 — Build Your Auto-Conversion Rules

Scroll down to the Auto-Conversion Rules card. This panel contains two condition groups — All Conditions and Any Conditions — along with an enable switch and a Save button.

  1. Under All Conditions or Any Conditions, click + Add Condition. A condition row appears.

  2. Choose a Lead field from the first dropdown (for example, Insurance, State, or Sales Stage).

  3. Choose an operator from the second dropdown (for example, is, contains, is not).

  4. Enter or select the value the field must match (for example, Aetna, Florida, or 2-VOB Pending).

  5. Repeat to add more conditions. Use the red trash icon on any row to remove it.

Understanding All Conditions vs. Any Conditions

The condition builder supports two logic groups that can be used independently or combined:

AND — every condition in this group must be met

Use when a Lead must match multiple criteria simultaneously (e.g., Insurance contains Aetna AND State is Florida)

Any Conditions

OR — at least one condition in this group must be met

Use when a Lead qualifying on any one of several values should trigger conversion (e.g., Sales Stage is 2-VOB Pending OR Sales Stage is 8-Referred Out)

You can use both groups together. A Lead must satisfy the All Conditions group and at least one condition in the Any Conditions group for auto-conversion to trigger.

Example Configurations

Example 1 — Insurance + State (All Conditions):

  • Insurance contains Aetna

  • State is Florida

Example 2 — Sales Stage (Any Conditions):

  • Sales Stage is 2-VOB Pending

  • Sales Stage is 8-Referred Out - Expecting Back

Example 3 — Combined logic:

  • All Conditions: Insurance contains Aetna AND State is Florida

  • Any Conditions: Sales Stage is 2-VOB Pending OR Sales Stage is 8-Referred Out - Expecting Back

Supported Fields and Operators

The condition builder supports multiple Lead fields and standard operators, consistent with the existing workflow condition builder.

Supported Lead fields include: Insurance, State, Sales Stage, and other available intake fields.

Supported operators include:

  • is

  • is not

  • contains

  • does not contain

  • starts with

  • ends with

  • has changed

Step 4 — Enable the Feature and Save

  1. Toggle Enable automatic Lead → Account conversion to ON.

  2. Click Save Rules. Your conditions and the on/off state are saved.

Verification / Expected Result

Once the feature is enabled and your rules are saved, the iConnect AI Agent evaluates every Lead it creates against your configured conditions:

  • If the Lead matches — it is automatically converted to an Account (along with a Contact and an Opportunity) using your existing Convert Lead settings. No manual action is required.

  • If the Lead does not match — it remains as a Lead in the standard queue, exactly as before.

  • A Lead that has already been converted will never be converted a second time.

💡 Tip: Keep your rules specific. Broad or empty conditions can result in more Leads being auto-converted than intended.

Turning the Feature Off

To stop automatic conversion at any time, return to the Auto-Conversion Rules panel, toggle Enable automatic Lead → Account conversion to OFF, and click Save Rules. Your saved conditions are preserved so you can re-enable the feature later without rebuilding them.

Important Notes

  • ⚠️ This feature is off by default for every account. No Leads will be auto-converted until an administrator enables it and saves at least one rule.

  • ⚠️ The Auto-Conversion Rules section is only available when the iConnect Type is set to Leads. It does not appear for Account / Opportunity / VOB mode.

  • Auto-conversion uses the same conversion process as the manual Convert Lead button, so the resulting Account, Contact, and Opportunity follow your existing Convert Lead settings.

  • Each account is configured independently — enabling this for one account does not affect any other.
