Problem
Subscribers continue syncing to iCampaign even after you have disabled historical data syncs and turned off subscriber workflows in the CRM. Records from modules such as Accounts, Leads, Referral Contacts, and Referral Sources appear in iCampaign without any filtering criteria being applied.
Possible Causes
Legacy automation rules from inactive integrations: When a third-party email marketing integration (such as MailChimp, Constant Contact, or HubSpot) was previously configured in your CRM, the setup process creates automation rules that sync CRM records to iCampaign. These automation rules remain active even after the integration is disabled and even after subscriber workflows are separately turned off. They will continue to push every update to Accounts, Leads, Referral Contacts, and Referral Sources to iCampaign as subscribers — with no filtering.
Multiple sync mechanisms running in parallel: Disabling subscriber workflows in the CRM settings only controls one sync pathway. Legacy automation rules created for older integrations are separate and must be identified and disabled independently.
Solution
Identify legacy automation rules: In your CRM, navigate to Settings → Workflows (or the Automation Rules section). Look for automation rules that were originally created for a MailChimp, Constant Contact, HubSpot, or similar integration that is no longer active. There may be multiple rules — commonly one for each CRM module (Accounts, Leads, Referral Contacts, Referral Sources).
Turn off the legacy automation rules: Disable each of the identified legacy automation rules. Simply disabling the integration itself is not sufficient — the rules must be turned off separately to stop the unfiltered syncing.
Verify that syncing has stopped: After disabling the rules, monitor your iCampaign subscriber list to confirm that new unfiltered records are no longer being added.
Address existing incorrect subscribers: Disabling the automation rules prevents new incorrect records from syncing, but it does not remove subscribers that were already created before the fix. To clean up existing incorrect subscriber records, go to iCampaign → Subscribers, use filters to identify records that should not have been synced, and delete them as needed.
⚠️ Important: Deleted subscribers cannot be recovered. Confirm you are removing the correct records before proceeding.
Reconfigure your intended sync: Once the legacy rules are off and incorrect subscribers are cleaned up, set up your subscriber sync using CRM workflows with the appropriate conditions (for example, requiring that an Account has an email address, insurance provider, and phone number on file before syncing as a subscriber).
