What the integration does for you
Dazos connects your admissions work in the CRM to your clinical chart in Ritten, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Ritten; the two stay in sync on their own.
Dazos sends to Ritten | Ritten sends back to Dazos |
A new patient chart, with name, date of birth, contact details and address | Who has been admitted, and when |
Insurance policies, in priority order | Discharges, discharge dates and discharge type |
Program, level of care and admit date | Level of care changes over the stay |
Pre-admission assessment, VOB and other paperwork | The patient's MR Number |
Assessment answers filled straight into your Ritten forms | Referral sources and referring contacts |
Follow-up tasks and calendar events | Patients admitted directly in Ritten (optional) |
The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.
Highlights
Assessments land as real Ritten forms. Answers your team captures in Dazos can now fill your own Ritten forms on the patient's chart, field by field. Clinicians see editable, reportable form data instead of a flat PDF, and simply review and sign.
Tasks and calendar events in Ritten. Tick one box on a Dazos task or event and it appears in Ritten for the right staff member.
Referral tracking that stays aligned. Referral sources and referring contacts from Ritten are matched to Dazos automatically, so referral reports stay accurate without spreadsheets.
Less setup work. Staff are matched to Dazos users by email, and Dazos can suggest form field matches by name.
Also improved this year: a safe test mode before go-live, faster and more reliable syncing, cleaner name and insurance matching, control over who can send data to Ritten, and full activity logs.
Day to day for your admissions team
Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.
1. Send the patient to Ritten
When a patient is ready, choose one of:
Click Admit Patient and choose Admit and Send to EMR to admit and create the chart in one step.
Or open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Ritten.
Or let it happen automatically: your administrator can send patients when they reach a stage such as Pending Admit.
Dazos warns you before sending the same patient twice. After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's Ritten details.
2. Paperwork follows automatically
The latest pre-admission assessment, VOBs and documents attach to the Ritten chart when the patient is created. You can resend one any time from the assessment or VOB's ⋯ menu.
3. Send assessment answers into Ritten forms
Open the Pre-Assessment and click Send to Ritten as Form (or Send Forms to Ritten on the Intake Opportunity), tick the forms, and click Send To Ritten. Dazos tells you right away whether each form went through and, if not, which answer is missing. The form waits on the chart, unsigned, for the clinician.
Ritten forms can't be edited once sent, so sending the same form again adds a second copy. Dazos asks you to confirm first.
4. Keep details current
Update a phone number, address or insurance policy in Dazos and Ritten is updated when you save. No re-sending needed.
5. Assign follow-ups
Tick the Ritten box on a task or event to create it in Ritten too. You can tick it even before the patient is in Ritten; it goes over as soon as they are.
What comes back from Ritten
Every hour, Dazos reads your full list of active Ritten patients and updates the matching Dazos records. Nobody on your team needs to do anything. Here is exactly what changes, and when.
Step 1: Matching the patient
Dazos links a Ritten patient to their Intake Opportunity only when all three of these match:
First and last name
Date of birth
Admission date, exact or within 2 days
Once linked, the patient's Ritten MR Number is filled in on the Intake Opportunity.
Step 2: Ongoing updates
For every linked patient still in treatment, Dazos updates:
What updates in Dazos | What it shows | Always or optional |
Admitted Status | In Treatment while admitted; your mapped discharge status after discharge (for example Discharged: Completed, Discharged: AMA/ACA) | Always |
Sales Stage | Moves to Admitted when Ritten shows the patient admitted. This starts your admission workflows and the Treatment Episode. | Always |
Admission Date and Discharge Date | The program admit and discharge dates from Ritten | Always |
Discharge Type | Ritten's discharge type translated to yours (for example AMA/ACA → AMA) | Always |
MR Number | The Ritten medical record number | Always |
Level of Care | The admitting level of care, plus level-of-care history and current level of care | History and current LOC are optional |
Name, date of birth and demographics | Corrections made in Ritten | Optional |
Emergency contacts and insurance | Changes made in Ritten | Optional |
Referral source and referring contact | Matched to your Dazos referral sources and contacts | Optional |
UR data | Utilization review information from Ritten | Optional |
Patients admitted only in Ritten. If a patient is admitted directly in Ritten and has no Dazos record, Dazos can create the Account, Contact and an admitted Intake Opportunity for them, so admissions and census reports stay complete. This is optional.
After discharge. Once Ritten shows the patient discharged, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in Ritten.
Your Implementation Specialist will confirm which optional updates to turn on during setup.
Seeing what changed. Every change Ritten makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the Ritten patient ID, MR Number, level of care, location and the last sync time.
Need it right now? Click Pull Updates from EMR in the Linked EMR Record box to refresh that patient immediately instead of waiting for the hourly update.

Which Treatment Programs go to which Ritten location, if you have more than one
The Ritten forms you want filled from Dazos, already published in Ritten
Which staff roles may send data to Ritten
Whether patients admitted directly in Ritten should be added to Dazos
We recommend testing in Ritten's sandbox first, then switching to live patients at go-live.
Common questions
How fast do Ritten changes show up in Dazos?
Within the hour. For one patient right away, use Pull Updates from EMR.
Why didn't a Ritten patient link to our record?
Name, date of birth and admission date (within two days) must all match. Fix any typo and the next hourly check links them.
Insurance didn't show up in Ritten. Why?
Each insurance company needs to be matched to Ritten's payer list once. Ask your administrator or Dazos Technical Services to map it.
A form wasn't sent. What now?
The message tells you which answer Ritten requires. Fill it in and send again.
Can we have several Ritten locations?
Yes. Each location is connected separately, and patients go to the right one by Treatment Program or your choice at send time.
Are emergency or related contacts sent?
They aren't added to the Ritten patient record. A related-contacts table can be included in a Ritten form if your form has one.
Can we test without touching real patients?
Yes, using Ritten's sandbox before go-live.
I can't see the Ritten send options.
Your role may not have permission to send data to Ritten. Ask your administrator.
