Kipu EMR Integration: Customer Overview (CRM)

An overview of how Dazos CRM and Kipu work together, what each system sends, what your admissions team does day to day, and what we need from you to get started.

What the integration does for you

Dazos connects your admissions work in the CRM to your clinical chart in Kipu, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Kipu; the two stay in sync on their own.

Dazos sends to Kipu

Kipu sends back to Dazos

A new patient file, with name, date of birth, contact details and address

Who has been admitted, and when

Insurance policies and insurance card images

Discharges, discharge dates and discharge type

Treatment Program, referral source and payment method

Level of care changes over the stay

Pre-admission assessment, VOB and other paperwork

The patient's MR Number

Assessment answers filled straight into your Kipu evaluation forms

Detail changes made after the patient is sent

Patients admitted directly in Kipu (optional)

The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.

Highlights

  • Kipu appointments in Dazos. Each linked patient's appointments, with type, status and provider, appear in the Dazos Appointments module and refresh every hour. Upcoming group sessions for the next 2 weeks can be included too.

  • More of the chart, without opening Kipu. Dazos can bring in the patient's care team (therapist, nurse, physician and case manager), special diets, allergies and treatment outcomes.

  • Live consent forms. A Kipu Consent Forms block on the Intake Opportunity shows the consent forms you choose, with their status and signatures, straight from Kipu.

  • Daily hours tracking. Group session attendance and selected billable forms from Kipu can feed Billable Sessions in Dazos.

  • Insurance cards and payment method. Insurance card images go into Kipu's card slots, and payment method is translated both ways using your own matching list.

Also improved recently: control over who can send data to Kipu, more reliable patient linking, Treatment Episodes kept current from Kipu, and clearer logs when a chart can't be linked.

Day to day for your admissions team

Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.

1. Send the patient to Kipu

When a patient is ready, choose one of:

  • Click Admit Patient and choose Admit and Send to EMR to admit and send the patient in one step.

  • Or open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Kipu.

  • Or let it happen automatically: your administrator can send patients when a workflow you choose runs, such as reaching a certain stage.

The patient's Treatment Program decides which Kipu location they go to. Dazos asks "Are you sure you want to send it again?" before sending the same patient twice. Returning patients are added to their existing Kipu record, and their details are refreshed.

Accept the patient in Kipu. New patients arrive in Kipu's Incoming section. Someone in Kipu must accept them. Once they are accepted, Dazos links the Kipu chart to the Intake Opportunity on its own, and a Linked EMR Record box appears. If a chart doesn't link, click Link EMR Record, search Kipu, and click Link.

2. Paperwork follows automatically

When the patient is sent, Dazos attaches the latest pre-admission assessment, the latest VOBs, and the documents on the Intake Opportunity and Account. Each lands under the Kipu document type you chose for it. Insurance card photos (JPEG) go into Kipu's front and back card slots. Once the chart is linked, you can resend any time:

  • Send PAA Pdf to Kipu from the assessment's ⋯ menu

  • Sent Vob Pdf to Kipu from the VOB's ⋯ menu

  • Send Document to EMR from a document, or Send File to KIPU on the Intake Opportunity's documents list

New documents uploaded to a linked record can also go to Kipu on their own, if your administrator has turned on automatic EMR updates.

3. Send assessment answers into Kipu evaluations

Open the Pre-Assessment, click ⋯ and choose Send to Kipu as Evaluation Form. Tick the evaluations in Select Forms to Send to EMR and click Send To Kipu. Answers fill your Kipu evaluation forms field by field, including tables such as medications and allergies. Dazos shows the result for each evaluation right away.

4. Keep details current

Update a name, phone number, address or other mapped detail in Dazos, and the changed details go to Kipu when you save, if your administrator has turned on automatic EMR updates. To resend everything, including insurance and emergency contacts, open the Action menu in the Linked EMR Record box and choose Push Update EMR Record.

What comes back from Kipu

Every hour, Dazos checks Kipu for new and recently changed patients and reads your full Kipu census, then updates the matching Dazos records. If Kipu event notifications are set up for your account, Dazos also acts as soon as Kipu reports a new or changed chart. Nobody on your team needs to do anything. Here is exactly what changes, and when.

Step 1: Matching the patient

Dazos links a Kipu patient to their Intake Opportunity only when all of these match:

  1. First and last name ("Jr.", "II" and "III" in Kipu are ignored)

  2. Date of birth

  3. Location: the Kipu location, translated through your location matching, must equal the Intake Opportunity's Treatment Program

  4. Admission date, exact or within 2 days

The admission date check is skipped when Kipu has no admission date yet, or when your administrator turns on Allow Patient Sync Without Admission Date. If the Intake Opportunity already has a different MR Number, it is not linked. Once linked, the patient's Kipu MR Number and payment method are filled in.

Step 2: Ongoing updates

Every hour, for every linked patient still in treatment, Dazos updates:

Optional

Patients admitted only in Kipu. If a patient appears in your Kipu census with no Dazos record, Dazos can create the Account and an admitted Intake Opportunity for them, with their emergency contacts and insurance if you pull those, so admissions and census reports stay complete. When a known patient is readmitted in Kipu with a new MR Number, Dazos can add a new Intake Opportunity for that admission. This is optional.

After discharge. Once Kipu shows the patient discharged, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in Kipu. One exception: if the status is Discharged: Unknown, Dazos keeps checking so it can pick up the right discharge type once it is mapped. Dazos also stops checking a Kipu chart that still has no MR Number 7 days after it was created, unless the Intake Opportunity is already admitted. Click Unlock EMR Updates to start updates again.

Your Implementation Specialist will confirm which optional updates to turn on during setup.

Seeing what changed. Every change Kipu makes is listed on the record's Updates tab, with the date and time. The Linked EMR Record box on the Intake Opportunity shows the EMR ID, MR Number, name, date of birth, level of care, location and the last sync time.

Need it right now? Open the Action menu in the Linked EMR Record box and click Pull Updates from EMR to refresh that patient immediately, or Pull Appointments from EMR to refresh their appointments.

Getting started: what we need from you

Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.

  • Kipu API credentials (Access Id, Recipient Id and Secret Key) and a Location Alias for each Kipu account

  • Your Kipu API version (V3 or V4)

  • Which Treatment Programs go to which Kipu location

  • Your full list of Kipu discharge types and programs (levels of care), spelled exactly as in Kipu, and what each means in Dazos

  • The Kipu document type for PAAs, VOBs, each document folder and insurance cards

  • Your Kipu payers and payment methods matched to Dazos insurance companies and payment methods

  • The Kipu evaluations to fill from Dazos, plus any consent forms to show and billable forms to count

  • Which optional updates you want from Kipu

  • Which staff roles may send data to Kipu

  • Whether patients admitted directly in Kipu should be added to Dazos

We recommend testing in Kipu's sandbox first, then switching to live patients at go-live.

Common questions

How fast do Kipu changes show up in Dazos?

Within the hour, or sooner if Kipu event notifications are set up. For one patient right away, use Pull Updates from EMR.

I sent a patient but they don't show in Kipu.

New patients wait in Kipu's Incoming section until someone accepts them.

Why didn't a Kipu patient link to our record?

Name, date of birth, location and admission date (within two days) must all match, and the MR Number can't differ. Fix any typo and the next hourly check links them. You can also use Link EMR Record.

Insurance didn't show up in Kipu. Why?

Insurance sending must be turned on, and inactive policies are not sent. Each insurance company should also be matched to Kipu's payer list once. Ask your administrator or Dazos Technical Services.

An evaluation wasn't sent. What now?

The message shows the result for each evaluation. Check the answers and send again, or contact Dazos Technical Services.

Can we have several Kipu locations?

Yes. Each Kipu account is connected separately, and patients go to the right one by Treatment Program.

Are emergency contacts sent?

Yes, when your administrator turns on sending emergency contacts.

Do appointments made in Dazos go to Kipu?

No. Appointments come from Kipu into Dazos only.

A discharged patient still says Discharged: Unknown.

That Kipu discharge type isn't mapped yet. Once it is, the next check sets the right status.

Can we test without touching real patients?

Yes, using Kipu's sandbox before go-live.

I can't see the Kipu send options.

Your role may not have the Push to EMR permission. Ask your administrator. Some options also appear only after the record is linked to a Kipu chart.
