What the integration does for you
Dazos connects your admissions work in the CRM to your clinical chart in Alleva, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team keeps working in Alleva; the two stay in sync on their own.
Dazos sends to Alleva | Alleva sends back to Dazos |
A new patient record, with name, date of birth, gender, contact details and address | Who has been admitted, and when |
Program (facility), admit date and MR Number | Discharges, discharge dates and discharge type |
Insurance policies and emergency contacts (optional) | The admitting level of care, and level-of-care history (optional) |
Referral source and referring contact | The patient's MR Number |
Pre-admission assessment, VOB and other documents as PDFs | Insurance, emergency contacts, pronouns and custom intake fields (optional) |
The patient's pronoun | Patients admitted directly in Alleva (optional) |
The result: less double entry, fewer typos, and pipeline reports in Dazos that match what actually happened in treatment.
What's new this release
Instant updates from Alleva. Alleva can now notify Dazos the moment a patient is created, updated or discharged, so changes no longer wait for the hourly check.
Your custom Alleva intake fields, in Dazos. Custom questions you've built in Alleva can be mapped to Dazos fields and filled in automatically. A blank answer in Alleva never wipes out an answer already in Dazos.
Safer manual linking. Dazos won't let one Alleva patient be linked to two Intake Opportunities, and asks before replacing an existing link.
Control over who can send data to Alleva. A role permission decides who can create patients and send documents.
Also improved this year: required-field checks before anything is sent, pronoun mapping in both directions, better referral contact matching, cleaner name handling, and more detailed activity logs.
Day to day for your admissions team
Most of the integration runs on its own. Your team only takes a few actions, all from inside Dazos.
1. Send the patient to Alleva
When a patient is ready, choose one of:
Click Admit Patient, enter the admission date, and choose Admit and Send to EMR to admit and create the Alleva record in one step. (Admit in CRM Only admits without sending.)
Or open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Alleva.
Or let it happen automatically: your administrator can add the Create EMR Record action to a workflow, for example when a patient reaches a certain stage.
The patient is sent to the Alleva location that matches their Treatment Program. Dazos asks "Are you sure you want to send it again?" before sending the same patient twice. After the send, the Intake Opportunity shows a Linked EMR Record box with the patient's Alleva details.
2. Required fields are checked first
Before anything goes to Alleva, Dazos checks every field your administrator has marked as required, and gender is always required. If something is missing, nothing is sent and Dazos lists exactly which fields to fill in.
3. Paperwork follows automatically
Depending on your settings, the latest pre-admission assessment, VOBs and the documents on the Intake Opportunity and Account are attached to the Alleva record as PDFs when the patient is created. You can resend any time: Send PAA Pdf to Alleva on the assessment's ⋯ menu, Sent Vob Pdf to Alleva on the VOB's ⋯ menu, or Send File to ALLEVA in the Intake Opportunity's Documents list.
4. Keep details current
Update a name, phone number, address, email or admit date in Dazos and the Alleva record is updated when you save. Only the fields you changed are sent. New insurance policies and emergency contacts you add later are sent to Alleva too.
5. Link a patient by hand if needed
If the patient already exists in Alleva, click Link EMR Record, choose Alleva Clients or Prospects, search, and click Link.
What comes back from Alleva
Every hour, Dazos checks Alleva for new patients and updates linked patients who are still in treatment. If your Alleva account sends notifications to Dazos, changes arrive as they happen. Nobody on your team needs to do anything. Here is exactly what changes, and when.
Step 1: Matching the patient
Patients you send from Dazos are linked straight away. For a patient who started in Alleva, Dazos links them to an Intake Opportunity only when all four of these match:
First and last name
Date of birth
Treatment Program (Alleva's facility, as mapped in your settings)
Admission date, exact or within 2 days
The Intake Opportunity's MR Number must also be blank or the same as Alleva's. Once linked, the Alleva MR Number is filled in. Name endings such as Jr., II and III are ignored when comparing, and Alleva records whose first or last name starts with "Auto" are skipped as test data.
Step 2: Ongoing updates
For every linked patient still in treatment, Dazos updates:
What updates in Dazos | What it shows | Always or optional |
Admitted Status | In Treatment once Alleva shows the patient admitted; after discharge, your mapped status (or Discharged: Completed if none is mapped) | Always |
Sales Stage | Moves to Admitted when Alleva shows an admitted client with an MR Number and an admission date on or before today. This starts your admission workflows and the Treatment Episode. | Always |
Admission Date and Discharge Date | The admit and discharge dates from Alleva | Always |
Discharge Type | Alleva's discharge reason translated to yours. Once a Discharge Type is set in Dazos, it is kept. | Always |
MR Number | The Alleva medical record number | Always |
Admitting to LOC | Alleva's level of care, translated to yours, when the patient is admitted | Always |
Level-of-care history and Current LOC | A new history entry each time the level of care changes | Optional |
Emergency contacts and insurance | Contacts and policies from the Alleva chart | Optional |
Pronoun and custom intake fields | Values from Alleva, translated by your mappings | Optional |
Outbound referral | Created at discharge when Alleva's "discharged to" company matches a Dazos referral source | Optional |
Bed board | Alleva's buildings, rooms, beds and who occupies them | Optional |
Patients admitted only in Alleva. If a patient is admitted directly in Alleva and no Intake Opportunity matches, Dazos can create the Account and an admitted Intake Opportunity, with MR Number, program, level of care and referral source. If the match has a different MR Number (a re-admission), Dazos can create a new Intake Opportunity on the same Account. This is optional.
After discharge. Once Alleva shows a discharge date on or before today, Dazos records the discharge and stops pulling updates for that record. The record shows "Patient Discharged: EMR Updates Locked", which protects the finished treatment episode from later changes in Alleva. An authorized user can click Unlock EMR Updates if needed.
Your Implementation Specialist will confirm which optional updates to turn on during setup.
Seeing what changed. Every change Alleva makes is listed on the record's Updates tab, with the date and time, and runs your Dazos workflows just like a manual edit. The Linked EMR Record box shows the Alleva ID, MR Number, level of care, location and the last sync time.
Need it right now? In the Linked EMR Record box, click Action, then Pull Updates from EMR, to refresh that patient immediately instead of waiting for the next update.
Getting started: what we need from you
Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.
Alleva API credentials (Grant Type, Client Id and Client Secret) and a Location Alias for each Alleva account
Which Treatment Programs go to which Alleva facility
Your Alleva discharge statuses and reasons, and level-of-care names, spelled exactly as in Alleva
The Alleva document types for assessments, VOBs and other documents
Which fields Alleva requires before it accepts a patient
Your pronoun list and any custom Alleva intake fields you want in Dazos
Which staff roles may send data to Alleva
Your choices on the optional items: emergency contacts and insurance, level-of-care history, outbound referrals, the bed board, and adding patients admitted directly in Alleva
Whether Alleva should send instant change notifications to Dazos
There is no separate test mode for Alleva, so Dazos connects to your live Alleva account. Test Connection in your settings confirms the credentials work.
Common questions
How fast do Alleva changes show up in Dazos?
Within the hour, or right away if Alleva notifications are turned on. For one patient right away, use Pull Updates from EMR.
Why didn't an Alleva patient link to our record?
Name, date of birth, Treatment Program and admission date (within two days) must all match, and the MR Number must be blank or the same. Fix any typo and the next check links them, or use Link EMR Record.
A send failed. What now?
The message tells you what's missing: a required field to fill in, or a Treatment Program that hasn't been mapped to Alleva yet. Fix it and send again.
Can we have several Alleva locations?
Yes. Each one is connected separately, and patients go to the right one by Treatment Program.
Are emergency contacts sent?
Yes, if you turn this on. Each contact needs a name and a phone number or email.
Can assessment answers fill Alleva forms, or can tasks go to Alleva?
Not today. The pre-admission assessment goes to Alleva as a PDF document.
Can we assign beds from Dazos?
When your bed board follows Alleva, beds are managed in Alleva. Assign the bed in Alleva and it appears in Dazos after the next sync.
I can't see the Alleva send options.
Your role may not have the Push to EMR permission. Ask your administrator.
