What the integration does for you
Dazos sends your admissions work in the CRM to MedicalMime as a complete patient registration, so nobody types the same patient twice. Your admissions team keeps working in Dazos; your clinical team picks the patient up in MedicalMime.
Dazos sends to MedicalMime | MedicalMime sends back to Dazos |
A new patient registration, with name, date of birth, gender, marital status, address, phone numbers and email (plus preferred name, race and Social Security number when your setup maps them) | Nothing at this time. The connection runs one way, from Dazos to MedicalMime. |
The facility, from the Intake Opportunity's Treatment Program
The expected admission date, and the referring professional when mapped
The guarantor: the primary policyholder, or the patient when they are their own policyholder or have no insurance
Every active insurance policy, in priority order, including pharmacy benefit details
The patient's first emergency contact |
The result: less double entry and fewer typos when a patient moves from admissions into treatment.
Highlights
A full registration in one click. Demographics, guarantor, insurance and an emergency contact all go over together.
Pharmacy benefits included. Rx BIN, PCN, group and phone go with each insurance policy, and Dazos can fill gaps from the patient's VOB if your setup maps them.
Missing information caught before sending. Dazos checks the fields MedicalMime requires and lists anything that's blank, so incomplete registrations don't reach MedicalMime.
Control over who can send. Only roles with the Push to EMR permission can send patients to MedicalMime. Insurance policies marked Inactive are never sent.
Day to day for your admissions team
Your team takes one action, from inside Dazos.
1. Send the patient to MedicalMime. When a patient is ready, open the Intake Opportunity, click ⋯ (More), and choose Create Patient in Medical Mime.
Dazos warns you before sending the same patient twice ("Are you sure you want to send it again?"). After the send, Dazos confirms the file was delivered and the Intake Opportunity shows a Linked EMR Record box. The option is hidden once a patient is discharged with an Admitted Status of Discharged: Completed and a discharge date.
2. If Dazos stops the send. Dazos tells you exactly why:
"The following required fields are mandatory in EMR but have no value:" followed by each missing field. Fill them in and send again.
"Treatment program not mapped." The Intake Opportunity's Treatment Program isn't matched to a MedicalMime facility yet. Ask your administrator.
3. Changes after sending. Changes you make in Dazos after the send are not passed to MedicalMime automatically. Update the chart in MedicalMime.
Getting started: what we need from you
Your Customer Success Manager, Implementation Specialist and the Dazos Technical Services team handle the setup with you. Gathering these items ahead of time speeds it up.
The secure file transfer details MedicalMime gives you: Host Name, Port, Username and Password
Which Treatment Programs go to which MedicalMime facility (and which MedicalMime connection, if you have more than one)
How your Dazos gender values match MedicalMime's
Which Dazos fields should fill each MedicalMime field, and which fields MedicalMime requires
Which staff roles may send data to MedicalMime
Once the details are entered, your administrator can click Test Connection to confirm Dazos can log in to MedicalMime's file transfer. Dazos has no separate test-mode switch for MedicalMime: it delivers to the connection your details belong to.
Common questions
How does the information get to MedicalMime? Dazos builds a standard HL7 patient registration file and delivers it to MedicalMime over a secure file transfer connection. MedicalMime picks it up from there.
Does anything come back from MedicalMime? No. Admissions, discharges, MR numbers and level of care are not updated in Dazos from MedicalMime. Keep those up to date in Dazos as your team does today.
Can it send automatically when a patient reaches a stage? No. Sending is always done with Create Patient in Medical Mime. Admit and Send to EMR does not send to MedicalMime.
Is paperwork sent? No. Pre-admission assessments, VOBs and documents are not sent to MedicalMime.
Insurance didn't show up correctly in MedicalMime. Why? Check that the policy is not marked Inactive and that its details are filled in. Every active policy is sent in priority order, and Dazos checks the required policyholder fields before sending.
Are emergency or related contacts sent? The first one is: Dazos sends the patient's first emergency contact (or first related contact if none is marked as emergency).
Can we have several MedicalMime connections? Yes. Each one is connected separately, and patients go to the right one by Treatment Program.
I can't see Create Patient in Medical Mime. Your role may not have the Push to EMR permission, or the patient may already be discharged. Ask your administrator.
