This guide explains how to resend a Pre-Assessment (PAA) PDF to your EMR (e.g., Kipu) after an Intake Opportunity has already been established. This is a vital workflow when clinical information is updated after the initial push and needs to be synced to the patient's medical record for accurate care coordination.
Before You Begin
Integration Check: The patient must have already been successfully pushed to the EMR. If the patient record does not exist in the EMR, the "Send PAA" option will not be visible.
Update Completion: Ensure all necessary edits to the Pre-Assessment fields in the CRM are saved before initiating the resend.
📘 Instructions
Access the Pre-Assessment: Navigate to the specific Intake Opportunity or Lead record and open the Pre-Assessment you wish to resend.
Locate the Action Menu: Look at the top-right corner of the page and click on the three-dot icon (More Actions menu).
Initiate the Transfer: Select the option Send PAA Pdf to KIPU (or your specific EMR name) from the dropdown list.
Confirm the Upload: The system will generate a fresh PDF of the current PAA data and upload it directly to the patient's file in the EMR.
Verification / Expected Result
A confirmation notification should appear in the CRM stating the PDF was sent successfully. To verify on the EMR side, log in to your EMR, navigate to the patient's chart, and check the Files or External Documents section for the newly uploaded PAA PDF.
Troubleshooting / Common Errors
Button is Missing: If you do not see "Send PAA Pdf to Kipu," the record likely hasn't been linked to the EMR yet. You must perform the initial "Push to EMR" first.
Sync Failure: If the PAA does not appear in the EMR, check the Integration Logs in the CRM for any error messages (e.g., missing mandatory fields or connection timeouts).
PDF Content is Outdated: If the PDF still shows old information, ensure you clicked Save on the Pre-Assessment record before clicking the "Send PAA" button.
