How to Add a New Custom Field (CRM)

Whether you’re new to Dazos or have been using Dazos for a while, it’s likely that at some point, you’ll want to ensure specific data is tracked by your team.

In this article, we’ll explain how to add a new custom field and the many ways that you can customize it.

How to Add a New Custom Field

  1. Log into Dazos CRM

  2. As an Administrator, click on the “Settings” tab

  3. Click “CRM Settings”

  4. Find the “Module Fields & Layout” setting

    1. Expand the “Module Management” section on your right-hand menu and click “Module Fields & Layout

    2. Quick search in the right side search for “Module Fields & Layout.”

    3. Use the “Module Fields & Layout” shortcut on the “CRM Settings” landing page

  5. Select the Module you’d like to add the custom field to from the drop-down menu at the top of the page

  6. Click the blue +Add Custom Field button to start your new custom field

  7. Once you’ve completed filling out the field details, click the green Save button to save your field

Note: Two fields on one Module (Lead, Intake Opp, etc) may not have the same name and and punctuation is now allowed.

The Most Commonly Used Field Types Explained

Text: This can be interpreted as a short text field. This is designed for short form 1-2 sentence details. In the “Length” section, you can define the number of characters that your team can enter in this section before they’ll be cut off.

Text Area: This is an area for your team to take longer more detailed notes. In the “Height” section, you can define the number of rows that your team can enter before they’ll be cut off. Pro tip: If you enable the WYSIWYG checkbox, height limits are removed and agents can format their notes.

Date: This is a calendar field where your team can input a date. Examples: Date of first call, date of last substance abuse, etc.

DateTime: Some teams prefer to go a layer deeper than simply date and want to include a time in the same field. Example: Admission Date and Time.

Checkbox: This is a simple Yes/No checkbox that agents can check where available. This is frequently used to trigger automations or as an alternative to a 2-option picklist.

Pick list: This is a list of options that you can provide agents. When adding values, be sure to hit enter after each one or opt to use a Global Picklist. A Global picklist in short is any picklist that already exists - this option simply saves you the effort of having to re-enter picklist values over and over when they’re being reused.

Multi Pick list: Sometimes you’ll find situations where you actually want to give agents the option to select multiple items on a pick list rather than just a single option. If that’s the case, you’ll want to use this field type over a pick list only.

Reference Field: Reference Fields are an amazing way to help agents avoid having to enter information or hunt for information across multiple related records by allowing you to reference data on certain related modules. You’ll need to define which Module you want to reference (note: not all modules are reference-able) and then specify the field you’d like to automatically pull data from.

Understanding the Field Property Settings

Mandatory Field: This means that when the record is created, the field will be required. When this is enabled, Quick Create will also be enabled and the ability to Hide will be removed.

Key Field View: This will add the field to the “Summary” view that the agent sees when they first view the Module.

Mass Edit: This will allow you to edit this field for multiple records at once with the same value when selecting multiple records from a Module List view.

Hide: This will hide the data in the field from the agent’s record view and list view columns. This is an excellent alternative to deleting a field when it houses valuable historical data

Quick Create: This will allow the field to show when an agent uses the Quick Create + sign to create a record in Dazos manually. This should be used selectively to ensure that utilizing Quick Create is still efficient.

Header View: This will show the field at the top of the Dazos record when viewing a record.

Read Only: This will show data in a record without allowing agents to edit the data.

WYSIWYG: This checkbox is only available for Text Area type fields and allows for rich formatting to include bullets, font, hyperlinks, etc.

When to Add a New Block of Fields in Dazos

From the Module Fields & Layout page, you may have noticed the +Add Block button in the upper left of the page. Doing this will add a new section to your Detailed View.

This will impact:

  • Tabs an agent can see when viewing the module

  • Groupings of fields when agents have the tabbed view off

Opportunities to add new Groupings:

  • If you have a common theme in a segment of fields and they should be together to prevent context-shifting

  • If you have certain fields that are only relevant to specific teams to minimize scrolling past data that may not be relevant to that person
