DocuSign Integration Part 3 - How to Set up a DocuSign Template(CRM)

Learn how to create and configure a DocuSign template with custom roles and fields. This process is necessary to ensure documents sent from Dazos are correctly tagged for electronic signatures.

Before You Begin

  • You must have Admin login access to your DocuSign account.

  • You must have the PDF document ready to upload for signing.

  • Best Practice: Before starting, make a list of all required fields and the DocuSign Role they will be assigned to (e.g., Client Signature, Manager Name).


StepsConfiguration Steps (In DocuSign Admin Portal)


1. Log in to DocuSign Admin portal




2. After logging into the account, navigate to the Templates section


3. Click on "Create Template"


4. Add a template name
Add a template description
Then click Upload to add the PDF file that you want to sign


5. After the document is fully uploaded, navigate to "Add recipients"

This is where you can add everyone who needs to receive the email.
- Add a role name.
- Select an action for this role.


6. Navigate to Add Message

- Add the email subject
- Add a message to display when opening the email link
- Click on "Next" to continue



7. Adding the fields to be mapped

- Navigate to "Search Fields"
- Then drag and drop the boxes (that will contain the information) to add them to the form.

⚠️ IMPORTANT: Align the type of field according to the information it contains.


8. Check or uncheck the field properties, such as 'mandatory' or 'read only'.


9. Navigate to "Data Label" and click on the right arrow to show the field label

  • TIP: To create more fields. Repeat steps 7, 8 9, to add all the necessary fields


⚠️ IMPORTANT: Make a list that includes the label type, label name, and the CRM corresponding information.

List example:

TIP: You can also personalise the label name for easier tracking.

  • Once you have added all the fields, click on 'Save and Close'.


10. Add a name to the new template, then click on "Save and Close"


11. Confirm that the new template was created successfully


Final Step: Update Dazos CRM

Share the Label names list you just created from DocuSign with the Dazos team.
This is required so they can map the new DocuSign fields to the corresponding fields in your Dazos CRM instance.


Verification / Expected Result

  • The template is ready to use and can be selected when sending documents from Dazos.

  • When a document is completed, the data entered into the custom fields will successfully update the corresponding Dazos record (after the Dazos team completes the final field mapping).
