How to Set Up JotForm Newsletter Integration with iCampaign for Lead Segmentation (iCampaign)

Overview: This guide shows how to set up JotForm newsletter integration with iCampaign segmentation and nurture workflows.

Before You Begin

Ensure you have:

  • Admin access to both Dazos CRM and iCampaign

  • A JotForm account with an active newsletter form

  • JotForm API key and account credentials

  • Clear understanding of how you want to segment your contacts

  • Custom fields or selection options in your form to identify contact types

Steps

Step 1: Set Up JotForm Integration in CRM

  1. Navigate to Settings → CRM Settings → JotForm Settings in your Dazos CRM

  2. Enter your JotForm API key in the Form API Key field

  3. Click Save/Connect to authenticate the connection

  4. Click Add Form and select your newsletter form from the list

  5. Choose workflow type: Create Leads Only (we'll handle nurturing through iCampaign)

Step 2: Configure Field Mapping with Lead Source

  1. Click the Edit (✎) icon beside your newsletter form

  2. Map JotForm fields to corresponding CRM fields (First Name, Last Name, Email, Phone)

  3. Ensure the lead source is set to identify newsletter submissions (e.g., "JOTFORM" or "Newsletter")

  4. Map any contact type field (such as "I am a...") to a custom field for segmentation

  5. Save your field mapping configuration

Step 3: Create Custom Fields for Contact Segmentation

  1. In CRM, go to Settings → CRM Settings → Fields

  2. Create custom fields to categorize your contact types if they don't already exist

  3. Common fields might include "Contact Type", "Audience Segment", or "Lead Category"

  4. Set up picklist values that match your form options (Parent/Family, Provider, Referring Professional)

Step 4: Set Up CRM Workflows for Lead Source Updates

  1. Navigate to Settings → Workflows in your CRM

  2. Create a workflow to automatically update lead sources from "JotForm" to "Newsletter" for better tracking

  3. Set conditions to trigger on new leads where Lead Source = "JOTFORM"

  4. Add actions to update the lead source to a more descriptive value like "Newsletter Signup."

Step 5: Configure iCampaign Segmentation

  1. Access iCampaign and navigate to Subscribers & Segments

  2. Create dynamic segments for each contact type:

    • Parent/Family Segment: Filter by Contact Type = "Parent/Family" AND Lead Source = "Newsletter"

    • Provider Segment: Filter by Contact Type = "Provider" AND Lead Source = "Newsletter"

    • Referring Professional Segment: Filter by Contact Type = "Referring Professional" AND Lead Source = "Newsletter"

  3. Save each segment for use in automated campaigns

Step 6: Create iCampaign Workflows for Automatic Enrollment

  1. In iCampaign, go to Workflows

  2. Create a workflow for each contact type segment

  3. Set trigger conditions:

    • Trigger: Contact added to segment

    • Conditions: Lead Source = "Newsletter" AND Contact Type = [specific type]

  4. Configure actions to automatically enroll contacts into appropriate nurture campaigns

  5. Set up email sequences, timing, and personalization for each audience

Step 7: Test the Integration and Segmentation Logic

  1. Submit test entries through your JotForm newsletter with different contact types

  2. Verify that leads appear in CRM with correct lead source and contact type

  3. Check that contacts are automatically added to the appropriate iCampaign segments

  4. Confirm that nurture workflows are triggered and emails are sent to test contacts

  5. Review segmentation accuracy and adjust filters if needed

Verification / Expected Result

After completing this setup, you should see:

  • Newsletter submissions automatically create leads in CRM with proper lead source identification

  • Contacts categorized into appropriate segments based on their contact type

  • iCampaign workflows automatically enrolling each segment into targeted nurture campaigns

Troubleshooting / Common Errors

Leads not being segmented properly:

  • Verify that the contact type field is properly mapped in JotForm integration

  • Check that segment filters in iCampaign match the exact values from your form

  • Ensure contacts have the correct lead source for segment qualification

iCampaign workflows not triggering:

  • Confirm that workflow conditions match your segment criteria exactly

  • Verify that the CRM to iCampaign sync is functioning properly

Duplicate or missing contacts:

  • Review JotForm field mapping to ensure required fields are captured
