Understanding Super Admin vs Customer Admin Access and Proper Escalation for Account Visibility Issues (CRM)

Super Admin and Customer Admin serve different purposes in Dazos CRM. Understanding the distinction between these access levels is crucial for proper user management and resolving account visibility issues correctly.

Super Admin vs Customer Admin Access Levels

Super Admin Access

Purpose: Reserved exclusively for Dazos staff to manage advanced system settings and configurations.

Who can grant it: Only Dazos staff members

What it controls: Advanced system settings, not data visibility

⚠️ Important: Super Admin access should never be granted to customer users. This is a Dazos-only access level for internal system management.

Customer Admin Access

Purpose: Allows customer users to manage their organization's users, roles, and basic administrative functions.

Who can grant it: The customer's designated Dazos Administrator

What it controls: User management, role assignments, and basic administrative tasks within the customer's instance

💡 Note: In the customer's CRM interface, the "Admin" checkbox they see actually represents Customer Admin access, not Super Admin.

Resolving Account Visibility Issues

When users report that they cannot see accounts or other CRM data, the solution is not to make them an admin. Account visibility is controlled by two specific settings:

1. Treatment Program Setting

  1. Navigate to Settings → User Management → Users

  2. Find the user and click Edit (pencil icon)

  3. Check the "Treatment Program" field in their profile

  4. If set to a specific program, they'll only see accounts tagged to that program

  5. To see all programs, leave this field blank or assign the correct program(s)

  6. Click Save

2. Role Permissions for Accounts Module

  1. Navigate to Settings → CRM Settings → User Management → Roles

  2. Select the user's assigned role

  3. Click "Edit Privileges of This Profile"

  4. In the Accounts section, ensure "View" permission is enabled

  5. Click Save




Proper Escalation Procedures

What NOT to Do

  • Do not make customer users Super Admins

  • Do not grant Customer Admin access to resolve data visibility issues

  • Do not bypass the customer's internal administrative structure

Correct Approach

  1. First: Check the user's Treatment Program setting

  2. Second: Verify role permissions for the specific module (Accounts, Leads, etc.)

  3. Third: If admin access changes are needed, direct the customer to their designated Dazos Administrator

Verification Steps

After making changes to Treatment Program settings or role permissions:

  • Have the user log out completely and log back in

  • Clear browser cache and cookies if needed

  • Wait 10-15 minutes before testing access

  • Verify the user can now see the expected accounts or data

Best Practice: Always troubleshoot data visibility through Treatment Program settings and role permissions before considering any admin access changes.

⚠️ Warning: Making someone a Super Admin or Customer Admin will not resolve data visibility issues and creates unnecessary security risks.

💡 Tip: Customer Admin access decisions should always be made by the customer's organization, not by Dazos support staff.
