Set a Default Number of Records Per Page (CRM)

List views in the CRM normally show 20 records per page. Your organization can now choose to show 50 by default instead, so every list opens with more records visible — no need to change the page size each time you open a module or start a new session.

1. Before You Start

You will need: an administrator account. This is a company-wide setting, so it is changed once by an admin and applies to everyone.

Access requirements: the setting lives on the Company Details configuration page, which is only available to System Administrators.

If you don't see the Settings gear or the Company Details page, your account doesn't have administrator access — ask your CRM administrator to make the change.

2. Open Company Details

1. From the CRM, click the Settings gear icon (top right).

2. In the settings menu, open Configuration → Company Details.

3. Click the Edit button.

You'll see the configuration form with all of your company settings, including the new Default Records Per Page option.

3. Set the Default Records Per Page

Find the Default Records Per Page dropdown and choose the value you want, then click Save.

Option

What it does

20

Lists open showing 20 records per page (the original behavior).

50

Lists open showing 50 records per page.

Tip: This is the starting page size. Anyone can still switch a single list to a different size while they work (see section 5) — this setting just decides what every list shows the first time it opens.

4. What Your Team Will See

Once saved, list pages across the CRM open at the chosen size automatically. The "Show __ entries" control at the top and bottom of each list reflects the new default, and there's no need to change it on every screen.

The default applies to the everyday data lists your team uses most, for example:

Leads

Accounts

Intake Opportunities

Documents

Emails

5. Choosing a Different Size for Yourself

The company default is just the starting point. On any list page you can use the Show __ entries dropdown to switch between 20, 50, or 100 records.

Options available

Company Details setting (admin)

20 or 50

Show entries dropdown (any user, on a list page)

20, 50, or 100

Your personal choice is remembered for the rest of your session, so you can temporarily show 100 records on a busy list without changing the company-wide default.

Important: 100 is available only as a personal, on-the-page choice — it is not offered as a company-wide default.

6. Frequently Asked Questions

Q: We didn't change anything — what's the default now? 20 records per page, exactly as before. The new behavior only takes effect once an administrator sets the value.

Q: Does this change apply to every user? Yes. It's a single company-wide setting that becomes the starting page size for everyone.

Q: Can a user still show 100 records? Yes — anyone can pick 100 from the "Show entries" dropdown on a list page. It just isn't one of the company-wide default choices.

Q: I set a different size on a list and then moved to another module — why did it reset? Your personal dropdown choice is remembered per list for your session. Other lists open at the company default until you change them too.

Q: How do I turn this off? Set the value back to 20 on the Company Details page. Lists will once again open at 20 records per page.

Need Help?

If something doesn't look right:

1. Confirm the value saved on Company Details (re-open the page and check the Default Records Per Page field).

2. Open a list in a fresh session and check the Show __ entries control at the top. 3.
