Overview
While Dazos is evaluating native fax integration features, you can use Zapier as a workaround to automate fax referral intake. This solution monitors referral information in a Google Sheet and automatically creates new Leads in Dazos when new rows are added.
Before You Begin
Your fax provider must support Google Drive integration (for storing fax PDFs)
Access to Google Sheets for logging referral information
A Zapier account (costs approximately $20/month)
Admin permissions in Dazos CRM to configure integrations
Steps
1. Set Up Your Fax-to-Google Drive Workflow
Configure your fax provider to automatically save incoming faxes to a designated Google Drive folder. Most fax providers like Dropfax offer Google Drive integration options.
2. Create a Google Sheet for Referral Tracking
Create a Google Sheet with columns for key referral information such as:
Patient Name
Date of Birth
Insurance Information
Referring Provider
Reason for Referral
Link to Fax PDF (Google Drive link)
3. Configure Zapier Integration
In Zapier, create a new Zap with the following configuration:
Trigger: Google Sheets - "New Spreadsheet Row"
Action: Dazos CRM - "Create Lead"
Connect your Google Sheet as the trigger source and configure Dazos as the action destination using the Zapier integration guide.
4. Map Sheet Columns to Dazos Fields
Configure the field mapping between your Google Sheet columns and Dazos Lead fields. Ensure that key information like patient name, contact details, and referral source are properly mapped.
5. Test the Integration
Add a test row to your Google Sheet and verify that a new Lead is automatically created in Dazos with the correct information populated.
Verification / Expected Result
Once configured, the automation will:
Monitor your Google Sheet for new referral entries
Automatically create Leads in Dazos when new rows are added
Populate Lead fields with information from the sheet
Eliminate most manual data entry for fax referrals
Troubleshooting / Common Errors
Leads not creating: Verify that the Google Sheet trigger is properly connected and that required fields are mapped in the Zapier configuration.
