Why IQ Revenue Data Is Missing When Program Names Don't Match Between Your Billing Platform and Dazos CRM
Overview
Dazos IQ maps revenue data to programs using exact name matching between your billing platform (such as CollaborateMD) and Dazos CRM. If program names don't match exactly, data will fail to sync and will appear missing in IQ reports. This article explains how the mapping works, what causes data gaps, and how to get a complete revenue picture.
How IQ Maps Program Data
When IQ ingests revenue data from your billing platform, it identifies which program a payment belongs to by matching the program name in the billing platform against the program name in Dazos CRM.
This match is exact and case-sensitive. If a program is named Residential Program in CollaborateMD but Residential in Dazos CRM, the sync will break for that program and its revenue data will not appear in IQ.
Program names must be identical in both your billing platform and Dazos CRM.
Even minor differences — extra spaces, abbreviations, or capitalization changes — can cause a mismatch.
If program names were recently updated in either system, a mismatch may have been introduced at that point.
Common Causes of Missing IQ Revenue Data
Program name updated in your EMR or billing platform but not reflected in Dazos CRM (or vice versa).
New programs added to your billing platform that don't yet have a matching record in Dazos CRM.
Programs in your billing platform that have no CRM program record at all — these programs cannot be mapped and their revenue will not appear in location-filtered IQ views.
Why Filtering by a Specific Facility Shows Lower Revenue
When you apply a location or facility filter in Dazos IQ, the system only includes programs that have a corresponding CRM program record tied to that location.
Programs that exist in your billing platform but do not have a CRM program record are excluded from location-filtered views. This means the revenue total shown for a specific facility may be lower than the actual revenue billed — not because the data is wrong, but because some programs aren't represented in the CRM.
⚠️ Example: If programs like Silver Living or SSH homes don't have program records in Dazos CRM, their revenue will not appear when filtering IQ by a specific location (e.g., Idaho). The revenue still exists — it just isn't surfaced in that filtered view.
How to Get a Complete Revenue Picture
If you need to see all revenue, including programs that don't have CRM records, use Dazos IQ Marketing Reports instead of location-filtered views.
IQ Marketing Reports are not restricted to CRM program records and will include a broader set of revenue data.
Use location-filtered IQ views when you want revenue tied specifically to programs that are fully mapped in the CRM.
Use IQ Marketing Reports when you need a complete revenue picture across all programs, including those without CRM records.
How to Resolve a Program Name Mismatch
Identify the program names currently in use in your billing platform (e.g., CollaborateMD).
Compare those names against the program names in Dazos CRM.
Update the program names in Dazos CRM to match the billing platform exactly — or coordinate with your biller to confirm which names should be the source of truth.
Once names are aligned on both sides, the IQ sync should resume correctly for those programs.
💡 Tip: Before making any name changes, confirm with your billing team whether names have been recently updated in the billing platform. Changes on either side can introduce a mismatch without it being immediately obvious.
⚠️ Important: If your billing platform workflows are name-dependent (e.g., automated processes in CollaborateMD that rely on specific program names), coordinate carefully before making changes. Updating names in the billing platform to match the CRM could affect those workflows.
Tips & Notes
✅ Best Practice: Treat program name alignment as part of your standard onboarding and change management process. Any time a program is renamed or added, verify it is updated in both Dazos CRM and your billing platform.
💡 Tip: If you're unsure which names are currently set in Dazos CRM, contact Dazos Support — the team can help you review and align program names.
⚠️ Note: Dazos IQ can map program names between systems — you do not necessarily need to change your billing platform's names if Dazos CRM can be updated to match. Discuss the best approach with your Dazos support representative.
