How to Set Up and Use iVerify Insurance Discovery (CRM)

Overview

The iVerify Insurance Discovery feature enables you to run a query using only a patient's basic info—no Payer Code or Health Plan ID needed. It uses the patient's First Name, Last Name, DOB, and SSN to automatically find active insurance policies.

This is different from the standard Instant VOB workflow, which requires insurance details to be entered manually before verification can run.

Before You Begin

  • You must have administrator access to CRM Settings.

  • Confirm that iVerify is active for your instance.

  • Have your Module & Layout editor available — you will need to add an SSN field to your Account layout and the Submit New Lead form.

Steps

Step 1: Enable iVerify Insurance Discovery Settings

  1. Go to Settings → iVerify Settings.

  2. Click Edit.

  3. Check both of the following options:

    • Avoid member ID input while verifying VOB

    • iVerify insurance discovery

  4. Click Save.

Step 2: Add the SSN Field to Your Account Layout

  1. Navigate to your Module & Layout settings.

  2. Open the Account layout editor.

  3. Create a new text field for SSN with a maximum character length of 15 characters.

  4. Save the layout.

Step 3: Add the SSN Field to the Submit New Lead Form

  1. Open the Submit New Lead form configuration.

  2. Add the SSN field you created in Step 2 to this form.

  3. Save your changes.

Step 4: Confirm Insurance Fields Are Not Marked as Mandatory

  1. In your Module & Layout settings, locate the fields for Insurance Company and Health Plan ID.

  2. Ensure that neither field is marked as required or mandatory.

  3. Save any changes.

Verification / Expected Result

Once setup is complete, you can submit a new lead using only the patient's First Name, Last Name, DOB, and SSN — without entering a Payer Code or Health Plan ID. The Insurance Discovery feature will run a search and attempt to identify the patient's active insurance policies automatically.

Understanding iVerify Credit Usage

Because Insurance Discovery performs a more comprehensive search than a standard VOB, it consumes more credits. Plan accordingly when running discovery queries.

  • 10 iVerify credits are consumed per Discovery query.

  • 1 additional credit is charged for each specific insurance policy found and verified during the query.

⚠️ Note: Credit usage is higher for Insurance Discovery than for a standard Instant VOB. Monitor your credit balance if running discovery queries frequently.

Tips & Notes

💡 Tip: Insurance Discovery is designed for situations where you only have basic patient demographics at the time of intake. It is not a replacement for the standard Instant VOB when insurance information is already known.

⚠️ Important: If the Insurance Company or Health Plan ID fields are marked as mandatory in your layout, the form will require those fields to be filled in before submission — which will prevent Insurance Discovery from working as intended. Always verify these fields are set to optional.

Best Practice: Confirm your SSN field has a 15-character maximum set in the field configuration. Entries that exceed this limit may cause submission errors.
